The Role
You will work as a Management Secretary to support the identified General Managers & Service Manager within Interface Division. You will ensure an efficient and effective support service by providing a comprehensive confidential secretarial and administrative service across the whole range of the Management Team remit.
Covering all aspects of personal admin support required for Senior management within Interface Division, including FNC+Plus, Virtual beds, Community & Acute collaboration.
Duties will include diary management, email co-ordination, minute taking, organisation of mandated and ad hoc meetings, rota & SSTS input, as well as other generic admin tasks associated with this role.
Car driver essential as travel will be expected due to being in a pan-Lanarkshire team.
What we'll need you to bring
* Professional qualification i.e. HNC in a relevant discipline (Business Admin/Secretarial Studies/Public Administration) or equivalent previous experience in a secretarial role (i.e., at least 5 years experience as a department/personal secretary)
* Well-developed interpersonal skills in customer care.
* Excellent communication skills.
* Good organisational and planning skills.
* Understanding of a range of procedures and processes.
* Ability to prioritise work and work on own initiative whilst under pressure.
* Proficient I.T. skills, which include a working knowledge of Microsoft packages.
* Ensuring confidentiality, diplomacy and discretion are maintained at all times.
It would be great if you also have
* HND or equivalent qualification and relevant experience.
* Previous secretarial experience in an administration role or working at a Band 3 level.
* Previous personal secretarial experience within NHS or Local Authority.
* Excellent working knowledge of Microsoft desktop packages (Word/Outlook/Excel/PowerPoint/Microsoft Teams).
* Excellent oral and written communication skills including minute taking and the ability to communicate effectively with a wide range of individuals.
* High level of organisational and interpersonal skills.
Contract type
Fixed Term or Secondment for 12 Months
Full time or Part Time
30-37 hours
Please note this may be a part-time post and the salary for this position will be pro-rata.
Please note this is a fixed-term post for 12 Months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post.
Location and Working Pattern
This role will be based in Interface Division within Administrative Offices.
The working pattern for this role will be confirmed by the hiring manager.
