* Provide the first point of contact for the department and deal with queries, as appropriate, or delegate where possible to other staff in the department.

* Identify the need for clinic cancellations following requests for leave from clinicians, and prepare relevant paperwork, ensuring that all modifications and changes to clinics are in line with the 6-week cancellation timeframe.
Main duties of the job
* Liaise with the cardiology booking team to ensure optimisation of outpatient clinics – particularly urgent appointments.
* Provide guidance and training for more junior members of the team, acting as a mentor to Trainee medical secretaries in the department.
Work with all junior secretarial and administration staff to ensure annual leave is planned throughout the year, ensuring office cover and secretarial support is provided within specialty or across specialties. This may involve undertaking any of the duties of the employee on annual leave, or providing advice and support to locum employees and other support staff.

EDUCATION, QUALIFICATIONS & TRAINING
* GCSE Math & English or equivalent
* Medical Secretarial Course/Medical Terminology Course, or ability to demonstrate equivalent
* RSA 1 and 2 or typing qualification
EXPERIENCE
* NHS Secretarial Experience
* Experience of working in an environment dealing with highly confidential data
* Experience of audio typing
* Experience of working within a busy office environment, always maintaining professionalism
* Minute taking experience
SKILLS, ABILITIES & KNOWLEDGE
* Knowledge of Microsoft Office Products
* Good written and telephone communication skills, to enable liaison with staff at all levels
* Ability to organise and prioritise a busy workload
* Ability to work as part of a team and recognise the needs of others
* Willingness to cover the duties of other secretarial staff
* Knowledge of Data Protection Act 1998 (ability to maintain patient confidentiality)
* Knowledge of Trust systems
SPECIAL CIRCUMSTANCES
* Ability, when necessary, to travel between the 3 hospital sites within the trust
* Able to maintain a flexible approach to the role and duties
