Job Overview
An exciting opportunity has arisen for a part-time Administration Assistant / Receptionist to join our Adult Community Treatment Team. The role will primarily be based at the Plessey Centre in Blyth, though the post holder will at times also be required to travel to other local bases, including West Farm House in Cramlington. Travel expenses will be paid where appropriate and in line with Trust policy.
Main Duties of the Job
The post holder must be able to use their own initiative, work under pressure, uphold confidentiality, keep to strict deadlines and have excellent organisational, interpersonal and communication skills. Responsibilities will include:
* Taking incoming calls and dealing with day-to-day queries
* Updating the patient information system (RiO)
* Sorting incoming/outgoing post
* Completing work from a shared inbox/work tray
* Reception duties, including greeting clients and answering calls
* Providing administrative support to the clinical team
* Taking accurate messages and responding to queries
* Reporting jobs to estates and ordering supplies
* Arranging appointments and meetings
* Typing letters and reports, and note-taking at meetings
* Updating client details and maintaining our patient information system
Person Specification
Qualifications
* General level of education to O-Level/GCSE or equivalent A-C grade
* Other English/Maths basic skills qualification
Skills and Knowledge
* Working knowledge of Microsoft applications, including email communication
* Able to input data accurately and efficiently
* Good communication and interpersonal skills, both verbal and written
* Demonstrates good customer care skills at all times
* Good organisational and planning skills using own initiative
Experience
* Admin experience within a team, minimum 1 year
* Ability to uphold confidentiality at all times
* Able to prioritise and plan own workload
* Experience of carrying out administrative tasks, e.g., data input, receiving and making telephone calls
