This will be enabled by updating and consolidating bp’s enterprise resource planning (ERP) systems to improve the quality of the data informing our decisions. Simplifying and standardizing our business processes is the critical first step in this transformation journey to modernize bp. With the appointment of the Senior Vice President (SVP) Group ERP Quantum, we are looking for an experienced Personal Assistant to join our team, supporting the SVP. Within this role, you will perform a variety of administrative tasks including proactively managing calendars, arranging logistics including office space, meeting room management and travel, processing expense reports and providing other reports as requested. The role will work closely with bp and third party colleagues. The role will report to the SVP and, as the successful candidate, you will be an integral part of the Quantum programme core team. You will interact with all the programme workstream leads and VP ERPs which are made up of bp colleagues from the entities as well as third party colleagues from Accenture, SAP, KPMG and EY. This is an exciting opportunity to support bp on a key transformation programme, support an SVP and work across the organisation. This role will be based in Building B, Sunbury office. What you will deliver : Daily management and co-ordination of calendar for one or more senior level managers as requested, anticipating materials and papers needed for meetings and proactively managing potential issues in location / timings / travel arrangements. Schedule meetings and teleconferences as required, booking rooms as appropriate including associated requirements e.g. equipment and availabilities (room and personnel). Collaborate with the Programme Workstream leads to facilitate events, arranging all associated calendars, logistics and event support. Organise travel and logistics arrangements and prepare itineraries. Support preparation of expenses for approval and management of invoices. Assist with creating reports and presentations. Where required, review of email inbox to screen out unwanted emails and respond to simple requests and requirements. Coordinate with site Workplace team relating to office space and IT requests. Produce written documentation on behalf of the manager. Coordinate focusbp discussions and follow up on completion on behalf of the manager. Be the point of contact for the SVP and leadership team as well as Personal Assistants to Governance Board SVPs and other business leaders. Work within budgets. What you will need to be successful (experience and qualifications) : Experience in diary, meeting and event management at SVP or equivalent level. Excellent attention to detail and a proven understanding of our bp systems and processes. Able to connect with and manage stakeholders at multiple levels inside bp and in partner organisation. Comfortable and confident communicating with senior leaders and their offices. Able to proactively plan and prioritise workload.
