Position Summary
Support Staff Full-time Appendix D Contract Position (January 2025 – March 2025). The Research Support Clerk assists management in the Conestoga Applied Research & Innovation Office of Research Services (CARI-ORS), and the college’s research-based Centres of Innovation, by providing comprehensive administrative and clerical services, managing time and schedules, and coordinating communication flow between managers, co-ordinators, consultants, faculty, researchers, and a variety of external contacts. The incumbent also serves as the CARI-ORS receptionist, manages correspondence, and follows up on action items and commitments to ensure efficiencies within the administrative components of the Office of Research Services.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with one day on-site at the Cambridge campus (96 Grand Ave S.) and four days remote.
Responsibilities
* Develops and maintains effective administrative procedures to ensure the efficient operation of the CARI Office of Research Services.
* Conducts research as requested by Senior Management and prepares reports and Review Summaries; includes the ability to source documentary evidence such as Statistics Canada reports.
* Composes materials/reports required for meetings and presentations.
* Develops and maintains a database of clients, partners, and organizations.
* Creates publications using desktop publishing tools to support events and other activities of the CARI-ORS.
* Reviews and assesses incoming and outgoing mail, e-mail, reports, minutes, Requests for Position (RFP), Requests for contracts, filing systems (hard copy and electronic), ordering office supplies, etc., and follows up as required.
* The incumbent maintains the appointment book for the Associate Director and Manager Finance/Administration, resolving discrepancies with conflicting appointments.
* Responds to a range of enquiries - internal, external, and from students, which requires a sound understanding of College and School policies and procedures (including services available through the CARI-ORS) with a high level of customer service, tact, diplomacy, and professionalism.
* Compiles and prepares agendas, gathers appropriate documentation for meetings, analyzes and summarizes reports, records, and transcribes minutes for meetings as required by Senior Management.
* Generates correspondence, including drafting correspondence on behalf of the Associate Director and Manager, Finance/Administration.
* Develops and maintains effective administrative procedures to ensure the efficient operations of faculty and/or client liaising with the Associate Director and Manager, Finance/Administration.
* Ensures proper completion and filing of all documents related to research project expenses.
* Proactively addresses student concerns and refers those requiring intervention to Senior Management.
* Provides support for the delivery of programs, workshops, and events for the CARI Office of Research Services.
* Assists the Manager, Finance/Administration in the budget process by compiling monthly financial statements, maintaining and monitoring budgets, identifying expenditure trends, reconciling financial records, budget inputting and preparation, reviewing expense claims, and preparing purchase requisitions.
* Assists the Director and Associate Director with administrative duties associated with new projects and areas of growth; composes required documentation for proposals and contracts with partners, external organizations, and agencies.
* Maintains documentation pertaining to academic policies and procedures as well as general college policies and procedures manuals.
Qualifications
* Two-year Diploma in Office Administration is required.
* Minimum two years of experience working in an Administration Assistant capacity with proven ability to use Microsoft Office (MS) applications is required.
* Ability to judge and maintain confidentiality.
* Ability to multi-task, take initiative, and proactively organize calendars, workload, deadlines, and priorities.
* Ability to meet multiple deadlines while handling constant interruptions.
* Note-taking and transcription skills required for meetings and minutes.
* Organizational skills as a result of competing demands.
* Ability to work as part of a team and independently with limited supervision.
* High level of interpersonal communication skills.
* Demonstrate good decision-making and good judgement; ability to use tact and diplomacy to achieve objectives.
