ABOUT OAKDALE Oakdale is a professional counselling and therapy provider. Oakdale’s mission is to provide wider, quicker access to high quality therapy and assessments across the age range; removing barriers and advocating for people; empowering them to thrive and sustain long term benefits from effectively managing their mental health. MAIN PURPOSE Oakdale’s administrators are highly regarded as key members of our team. They ensure the smooth running of our centres, liaising between clients and therapists, looking after the diary and appointments for a number of therapists, ensuring telephone and email queries are appropriately answered and generally carrying out all necessary administration tasks. Appointments are available until 8:30pm and on Saturdays, and a vacancy has arisen for an evening and Saturday administrator. The post will suit a competent and confident administrator who is interested in being part of a dynamic organisation offering people a valuable and much needed service. MAIN RESPONSIBILITIES Administration To answer the front door and direct clients to the waiting room or the appropriate consulting room Answer the telephone, take messages, make or rebook appointments, and assist Oakdale’s clients and therapists with the organisation of appointments Take payments by cash, credit card or online Answer enquiries from members of the public and take their information Manage therapist’s diaries Input information onto Oakdale’s client database system Type and send reports, send emails with appointment details Check the building and lock up at the end of the shift, including setting the alarm General Duties To be an integral staff team member of the centre team and contribute to its positive reputation and development To undertake some housekeeping duties, e.g. ensure consulting rooms are clean and tidy before locking up at the end of the evening or day, ensure rooms and cloak rooms are appropriately stocked with necessary tissues and paper and bins emptied when necessary To make sure the kitchen is clean and tidy at all times Person Specification Confident and responsible person, able to work under your own initiative Excellent communication and problem-solving skills, with the ability to engage with clients and professionals Ability to organise your own work and make sure that work is prioritised appropriately Proficient in the use of IT packages and systems Personal Qualities Responsible, honest, trustworthy and reliable Pleasant, calm and respectful manner A team player Excellent interpersonal skills Professional appearance.
