We are looking for an enthusiastic person to join our admin team as a Senior Administrator/GP Assistant to work with our clinicians and care coordinators.
The role is diverse and has scope to develop as we embrace continuous quality improvements in primary care along with the NHS long term plan.
Main Duties of the Job
The role is primarily to reduce the amount of work that goes to our GP's unnecessarily and to support the effective and safe flow of work with the existing team.
This work could look like:
1. Sorting all clinical post and prioritising. Sign posting some post to other healthcare professionals, such as Clinical Pharmacists
2. Extracting all information from clinical letters that needs coding and adding notes
3. Dealing with all routine clinical post directly e.g. DNA letters, 2WW etc.
4. Arranging appointments, referrals and follow up appointments of patients
5. Completing basic (non-opinion) forms for the GP to approve and sign such as insurance forms, mortgage forms e.g. ESA113 etc
6. Explaining treatment procedures to patients including arranging follow up appointments
7. Helping the GP liaise with outside agencies i.e. getting an on call doctor on the phone to ask advice or arrange admission while the GP can continue with their consultation(s)
8. Support the GPs with immunisation campaigns
9. Process clinical information such as lab reports and BP readings under clinical protocols.
10. Support and carry out any tasks set by the PCN Clinical Directors, PCN Manager and the wider PCN multi-disciplinary team with regard to meeting the requirements as set out by the Network Contract DES
About Us
The Park Surgery in Driffield is a forward-thinking semi-rural practice. We have approx 15000 patients and our own dispensary.
The practice is made up of 3 GP partners and 6 salaried GP's who work with an array of ACP's, Nurse prescribers, Nursing Team and HCAs; MSK, Pharmacists and Pharmacy Technicians. There is a back office team of about 35 people supporting the day to day running of the practice.
We are also a training practice, working closely with HYMS.
We also have a small branch surgery at Nafferton.

Job Responsibilities
To assist clinicians in the administrative tasks required for clinical care. To facilitate the admin process of gathering information from different services as required. Completing and submitting documents on behalf of the GP and other clinicians.
To be a point of contact for fellow health professionals including nursing and residential homes, social services, ambulance, hospitals, CMHT, key workers and community services.
To be a point of contact in the event of patient death. Liaising with the family, funeral directors and coroner, if required. To ensure paperwork is processed in a timely manner and families are supported through the process.
To produce referrals for patients as appropriate.
Assist in the completion and submission of safeguarding paperwork.
To administer fit notes where clinically appropriate.
Checking blood pressure results submitted by patients, calculating averages and assessing against clinical guidelines alerting clinicians where readings are out of tolerance.
Support clinicians in requesting laboratory tests to monitor ongoing conditions and medications.
Action patient tasks and ensure prompt turnaround as per surgery protocol.
Chase up hospital appointments, results and other queries as required by clinicians.
Monitor and respond to Accurx enquiries, referring on to appropriate department or dealing with queries.
Deal with emails which arrive in the Practice generic email inboxes, either resolving them or directing them to appropriate internal persons.
To undertake any other reasonable work when requested to do so by clinicians and the Practice Manager.
To run monthly reports that capture patients on specific medication which requires monitoring of bloods or other measures.
Monitor workloads within the admin department ensuring the KPIs are adhered to such as referrals, document management, private letters etc.
Facilitate the flow of work from the Quality and Assurance Manager to the care-coordinators and monitoring performance e.g. QOF and CQC quality standards work.
Ensure that patient recalls are being carried out monthly.
Any other tasks as deemed necessary for the role.
Person Specification
Qualifications
Essential
1. GSCE with at least a grade C/4 in Maths / English
2. or
3. NVQ level 2
4. or equivalent work experience at similar level
Desirable
1. Customer Care Training
2. Thornfields Training for Primary Care
3. Any other Primary Care specific training relevant to the role.
Experience
Essential
1. Experience of working in administration within Primary/Secondary Care
2. Previous experience of preparation of forms such as Safeguarding, Marac or other primary care specific forms e.g. burial forms.
Desirable
1. Experience of working in a similar environment in a health care setting.
2. Working or leading a team to tight deadlines/kpis.
