The Clinical Administrator at Schoen Clinic York will provide an efficient, effective and professional reception and administrative support service to patients and colleagues.
Main duties of the job
1. Meeting and greeting patients, visitors, consultants and colleagues at reception, and acting as the main point of contact for any enquiries.
2. Sort all incoming post and deliveries. Manage outgoing post.
3. Manage the Enquiries inbox by responding to and/or redirecting as appropriate.
4. Taking telephone calls, directing queries to the relevant person, taking and distributing messages as appropriate.
5. Take minutes for the Hospital Director, Lead Nurse, Quality Manager and Ops Manager meetings as required and email forthcoming agendas to relevant parties.
6. Manage the meeting room bookings via Outlook calendars, approve bookings, notify of any clashes ensuring optimum efficiency of the meeting rooms.
7. Liaise with IT Support providers to set up all new starters on IT systems.
8. Be responsible for the administration and distribution of petty cash to patients and reconciliation of receipts.
9. Ensure reception and waiting areas are kept neat and tidy.
10. Re-stocking of information leaflets, updating of reception notice/information boards as appropriate.
11. Monitoring and ordering of both stationery and medical sundries.

Schoen Clinic York is a highly specialised Hospital for adults in the North of England. We are currently based on the ground floor of Minster Grange as an eating disorder hospital, and in September 2024 will be expanding to cover the full building with other service lines including Dementia care. We are situated just off Haxby Road which is 10 minutes drive from York Train Station and 4 miles from the A64.

Qualifications
* A good standard of education including GCSEs in both Maths and English.
* Can demonstrate clear evidence of continued professional development.
* Further qualifications relevant to the role.

* Experience of working in a reception/administration role within a team-oriented office environment.
* Experience in accurate minute taking and report writing.
* Experience and proficiency in Microsoft Office and other IT systems.
* Understanding of MHA & MCA.
* Understanding of the treatment of eating disorders.
* Confident in taking telephone enquiries from patients, healthcare professionals and the general public.
* Experience of working within a healthcare setting.
* Demonstrates an awareness and commitment to equality and diversity.
* Experience of using IT-based patient record systems.
* Experience minuting MDTs and Patient meetings.
