Location: Hybrid work (Southampton on site 2-3 days a week)

What you'll be doing;
* Maintain project folder, documentation, and project directory
* Record, file, and distribute meeting minutes; manage meeting schedules
* Ensure timely document sharing and compliance with document control policies
* Conduct regular document audits and process reviews for continuous improvement
* Create and manage project process templates (e.g., transmittal registers, inspection sheets)
* Manage document issue process with subcontractors and external share folder with clients
* Handle project reporting, including collation and distribution of site diaries and contractor hours
* Submit and monitor purchase order (PO) requests
* Manage the distribution and review process of RDDs, RFIs, and RAMS
* Sort, store, and retrieve electronic documents on behalf of clients and industry professionals
Potential to work on other projects - other sites travel
What we're looking for;
* Educated to GCSE level or equivalent.
* Advanced level of Google Suite
* Previous experience in an administrative role which involved customer contact.
* Strong verbal and written communication skills
* Excellent attention to detail and planning ability.
* Strong organisational skills, ability to multitask and prioritise.
* A flexible, 'can do' mindset.
* Ability to keep up to date with industry information, future trends and latest technology.
* Full UK Driving Licence and willingness to travel to multiple sites at least 3 days/week
* Prince2 or APM PFQ Qualification (either obtained or working towards) (desired)
