Key Responsibilities:
Provide secretarial support to the Division Head:
* Liaise internally and externally to make appointments, schedule meetings, and collect information.
* Prepare letters and reports, as well as maintain and update the electronic filing system for the division.
Provide secretarial support on general divisional matters:
* Arrange hotel accommodations and air ticketing requests for the division.
* Circulate information and update the notice board in the division.
* Take charge of the Master Specification for respective services.
Provide secretarial support to the projects assigned:
* Draft and prepare all letters, faxes, reports, and Tender Specifications, etc., and maintain a proper electronic filing system.
* Circulate project materials, such as correspondence and reports, to designated personnel.
* Coordinate internally and externally to make appointments, schedule meetings, and arrange for the collection of tender documents.
* Assist other secretaries within or across divisions.
* Participate in ad-hoc assignments when required.
Key Requirements:
* GCE ‘O’ Level and above with a minimum of 3 years of relevant experience.
* A good team player who is independent and has excellent interpersonal and communication skills.
