Work Schedule Standard (Mon-Fri) Environmental Conditions Office Job Description Responsibilities: Responsible for receiving site level calls and redirecting/passing on notes as required. Responsible for meeting/greeting site guests, ensuring all guests know where they are going, and hosts are advised of arrival. Responsible for carrying out GTC/Employee checks prior to arrival. Calendar management - maintain and edit the calendar as needed based on business priorities and the availability of key stakeholders. Proactively resolve conflicts and fully research viable alternatives for all meetings. Meeting planning and coordination - plan and execute logistics for SLT meetings, including room reservations, room set up, phone and conference arrangements. Buffets (as required) and communication with all invitees on meeting details and participation logistics. Follow-through on adjusting/cancelling logistics when meetings are moved or cancelled. Travel support - make travel arrangements, prepare itineraries and processes expense reports using online expense reporting tool and related paperwork. Document creation and editing - create and edit documents (Microsoft, PowerPoint, Word, Excel and/or email). Detailed daily assistance - facilitate daily interaction and navigation by daily contact (phone, email, IM, text) with team to confirm calendar, highlighting meetings logistics and possible preparation needs and contacting the Operations Direct through the day to draw attention to urgent issues. Interact with senior business leaders on a day-to day basis, helping to coordinate site activities. Also works regularly with peers in similar administrative roles who are supporting other company leaders. Key member of the site team responsible for coordinating site activities, presentations, employee events, budget control and meetings agendas. Leading the site STEAM team, managing the STEM ambassadors, the STEM budget, and the STEM activities both on and off site. Responsible for liaising with local councillors and education authorities to engage local communities with this fantastic opportunity. Site representative for Corporate Social Responsibility. Lead the team to coordinate all site chartable and volunteering events, coordinate and submit all funding requests, and communicate to corporate CSR and other sites on site performance engaging team members and employees along the way.
