Job Description
We’re recruiting for a Personal Assistant to join us. We are looking for someone who will provide a proactive and professional PA service to our Managing Director of our Retail Retirement division and other leadership team members as required, working autonomously and independently with excellent attention to detail and a pro-active approach in supporting all aspects of their day-to-day activities.
What you'll be doing:
1. Responsible for the effective organisation, through diary and time management, of internal and external meetings, telephone, video conference/Microsoft Teams and logistics (venue, travel, accommodation, equipment etc.)
2. Organise events/away days/conferences as required, including attending, and managing logistics on the day if required
3. Ensuring housekeeping for meetings is appropriately highlighted to the chair. Effective pre-meeting documentation, minute taking and follow-up communications
4. Complete management of the onboarding process for the team
5. Managing all aspects of travel, expenses, and invoice processing. Keeping accurate and confidential records including holidays, absence, gifts & hospitality, complying with regulations.
6. Working collaboratively with other EAs/PAs ensuring there is always seamless support in place and providing cover when needed
7. Providing prompt, professional and courteous support to any enquiry from any internal or external customer
Qualifications
Who we're looking for:
1. Proven track record working as a Personal Assistant, Team Assistant, Team Administrator or Executive Assistant
2. Knowledge and experience of core Microsoft applications including Outlook, Teams, SharePoint, Word, PowerPoint and Excel
3. Capable of using a variety of technology. Ability and willingness to learn and train others on new tech/systems and sharing knowledge and expertise where necessary
4. Demonstrates accuracy when sending out reports, papers, and correspondence
5. Strong team player, capable of working in a fast-paced environment where attention to detail is paramount
6. The ability to prioritise a busy workload and to be flexible in a continuously changing environment
7. Self-starter, capable of working alone and unguided but dealing with any situation that arises and confident in making decisions where appropriate
8. Excellent interpersonal/communication skills at all levels and the ability to create a strong internal and external network
