Job Purpose:
· Two specific Faculty focused appointments, each with same overall purpose and responsibility · To support the Colleges Annual Curriculum Planning cycle
· To support funding and course / programme structure optimization and maintain the Colleges course file within Tribal EBS
· To support the allocation of rooms to pre-populated timetables
· To monitor room and staff utilisation, and average class size considerations
· To support Faculty Admin staff in the creation of Timetables
· To support Curriculum Areas in the monitoring of register marking
Key Responsibilities
1. To take an active lead in the College’s Curriculum Planning annual cycle
2. To build and maintain relationships with Partnership and Curriculum management staff to maintain a validated course file throughout the academic year
3. To provide support to Partnership and Curriculum Managers on the best practice use of College Curriculum planning systems and processes – including 4cast and any subsequent validation reports
4. To ensure that the College Curriculum Course file is valid and properly maintained, ensuring that accurate external funding and course fees can be claimed.
5. To provide support to Curriculum Managers in relation to the use of “Find a Learning Aim (FaLA), selection of appropriate learning aims, and interpretation of funding criteria / eligibility.
6. To support funding optimisation of curriculum plans through the provision of information regarding Learning Aims and the availability of Education and Skills Funding Agency (ESFA), WMCA, and other funding rates, categories and eligibility criteria to Curriculum managers.
7. In conjunction with the Examinations and Progression Manager ensure that all validated Learning aims within the Colleges course file are known to the Exams team and that the College is registered with the relevant Awarding Body to deliver them
8. In conjunction with the Examinations and Progression Manager ensure that accurate Examination costs are recorded in the College’s course file.
9. In conjunction with Finance, to contribute to review of College Fees policy and ensuring appropriate application to course file and planning data.
10. To support Curriculum management staff in the creation of course datasets, and subsequent incorporation into curriculum plans with relevant income and expenditure data.
11. To support contribution analysis, ensuring efficient delivery of viable course / groups
12. To support initial curriculum plan validation. Working with curriculum areas where learning aims specified have validity issues or where funding is not available for targeted learner cohorts.
13. To ensure effective and efficient recording of agreed Funding / Enrolment / Learner number targets; and support the subsequent performance monitoring processes against these targets
14. To ensure a robust process is in place to manage and validate in-year changes to the course file (including amendments, additions and deletions)
15. To be responsible for the independent identification of appropriate rooms for pre-populated timetables; ensuring room meets specific requirements of delivery and targeted group size
16. To support Faculty Administration colleagues in the technical use of ebs Shape for the creation of timetables and subsequent registers.
17. Ongoing monitoring (using various reporting mechanisms), room utilisation; with recommendations to Curriculum Managers where potential inefficiencies become apparent in-year

19. To support the training and development of College staff so that they can effectively utilise the College Curriculum, Timetable and Register systems (4Cast, Tribal ebs Central and Shape)
20. To monitor using various reports, and in conjunction with curriculum staff, the timely and accurate marking of registers.
21. To ensure that an accurate course file is supplied to the Marketing Manager to support the creation of College Prospectus
22. To provide, as appropriate, support for the validation and internal / external audits of college data.
23. Supporting other Funding and Compliance functions as appropriate
24. To ensure a clear audit trail for all transactions
25. To work to achieve team and individual KPIs, reviewed and monitored at team and one to one meetings
26. To attend careers and open day events
27. To contribute to the Self Assessment process and Quality Improvement Plan
28. To participate in the performance management scheme, one to one and Team meetings, attending appropriate training
29. To undertake other duties and responsibilities commensurate with the post as determined by the Principal
