Achieve your ambitions – join us at JLL Location: London Role Purpose An exciting opportunity has arisen for a Facilities Coordinator to join JLL’s Integrated Facilities Management business. The Facilities Coordinator will assist the Senior Facilities Manager with operational activities in, maintenance and operations, vendor oversight, occupancy services to include customer front delivery and workplace helpdesk. The Facilities Coordinator is also required to provide administrative support to the team. What this job involves Client/Stakeholder Management Demonstrate and ensure to instil a culture in the team that match our ‘I am JLL’ core behaviours and values of being an Expert, Proactive, Innovative, Versatile, Team Player and valuing the Customer Provide superior customer service to meet on-site client’s expectations Ability to manage conflict and conflicting priorities Vendor Management Assist in the management of all attending contractors on site to ensure they perform to the required standards (including inspection of vendors’ works) Demonstrates ability to work with vendors to deliver efficient services Verification of vendor invoices confirming correct costings and completition of works to the required standard. Health & Safety Management Conduct regular audits to ensure safety procedures on site are in place and working Assist in carrying out safety procedures when needed Assist in updating/editing and reporting to the client on all Life Safety asset maintenance Site Operations Assist in the implementation of Industry Best Practice operations Seek ways to improve and streamline operational standards and processes Serve as a key point of contact for all three UK based client sites. Management of the team’s rota, along with supporting the team as the business requires. Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times Maintain premises in neat and good working condition at all times Provide support for regular reporting packages (Corrigo / CMO / Governance Reports) Analyse and oversee the management of Corrigo. Provide support and guidance to all client employees using the Corrigo system. Management of work orders processes and completion; ensuring SLAs and KPIS are adhered to. Event co-ordination with regards to supporting the organization of corporate events, meetings, and conferences, coordinating logistics and facilities arrangement. Assist in supporting the meeting room booking system, which includes booking all forward and same day reservations, cancellations and / or amendments to bookings as per client requests (site depending) ensuring frequent communication with end user on their booking Ensure meeting room booking system is up to date- details for rooms are correct, assist with any booking inquiries and liaise with supporting teams if necessary Ensure all meeting rooms consumables, including F&B, should be refilled and reset after each meeting where appropriate Weekly / Monthly / Quarterly checks on access cards for leavers reports. Accountability and ownership of the admin support for the account. Communicating effectively and escalating UK facilities activities to the Senior Facilities Manager. Clear oversight of all client inquires and concerns related to facilities, ensuring a high level of service. Proven ability to manage multiple and complex operational matters on a daily basis Demonstrates ability to prioritize and support in managing the completion of small moves and changes in an efficient and timely manner Support the wider JLL team on site as part of the wider operation on account and ad hoc tasks as directed. Risk Management Assist in the implementation and management of property risk management program Follow established escalation procedures and incident reporting procedures Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies Sound like you?
