Job summary
We are looking for an efficient administrator to support our friendly team on Cedar Ward at Hillview Lodge, on a part time basis.
Cedar is a dementia assessment ward which has been newly developed and purpose designed to provide support and care and in a high quality, person centred working environment.
The post holder will need a wide range of administrative skills and be able to use Microsoft Office applications and IT packages confidently. There will be elements of customer service, problem solving and the need to be flexible to meet the demands of the ward. This is a varied role supporting Nurses, HCAs, OTs and Consultants with daily administration tasks including scanning, updating patient records, ordering supplies, attending and taking minutes in meetings.

Main duties of the job
Good communication skills will be needed as the role involves liaising with lots of varied health and care staff and agencies, alongside Service Users and their families and carers. The post requires empathy and a degree of resilience, as well as the ability to take accurate messages and ensure they are dealt with appropriately.
This is a varied role and requires the post holder to be flexible and able to adapt to constant changes in workload. You will have the opportunity to attend numerous training courses and will have regular formal supervision. This role sits under the Band 3 Clinical Services Administrator job description.
This is a part time office administrator role for 15 hours per week and whilst the work pattern can be negotiated it will include the majority of the hours being worked Monday and Tuesday (between normal office hours 9am-5pm).

Some of the duties within this role will be:
1. Answering the telephone on behalf of the ward.
2. Scanning and uploading documents onto the patient database.
3. Updating patient records.
4. Arranging meetings and taking minutes.
5. Ordering supplies.
6. Providing general day to day admin support for the ward.
7. Also providing cross cover admin support for Sycamore Ward when required.

8. NVQ 3 qualification or relevant experience in administrative systems and office procedures
9. Evidence of working well in a team

13. Strong IT Skills, including knowledge of Microsoft Office systems
