ABOUT THIS ROLE
As the Facilities Manager, you will fulfill a crucial role within our business, being the face of the Company every day and providing great experiences to our employees, partners, suppliers, candidates, and visitors at our site. You will ensure we operate with a health & safety-first mindset while liaising with all office service providers and suppliers. As the first point of contact, you will greet and direct visitors, suppliers, and induct new joiners, being well-informed about anything facilities-related. You will be integral in creating a positive, professional, healthy, safe, and engaged work environment.
The role is site-based full-time, 5 days a week, based out of our Cambridge office (CB21).
JOB ROLE AND RESPONSIBILITIES
General Office Management
1. Overall responsibility for the smooth running of ghd's Cambridge office.
2. Responsible for the smooth flow of deliveries both in and out of the office, ensuring effective distribution and that deliveries are safe and secured, without presenting tripping hazards.
3. Monitor and oversee the level of service provided by the cleaning contractors.
4. Ensure adequate stock levels of housekeeping materials (office, kitchen, loo, and first aid) are maintained.
5. Organise lunches and refreshments for management committee and external meetings as requested.
6. Conduct regular floor walks to ensure no safety hazards and that kitchens are well stocked.
7. Review all invoices, raise POs, and claim expenses monthly.
8. Ad hoc tasks/projects in line with reasonable management instruction.
9. Support the EAs with events as requested.
10. Work collaboratively with the IT team to ensure the site is well run in terms of IT needs, identifying ongoing issues and supporting their resolution.
11. Continuous improvement of the office environment, enhancing processes, communicating to employees, and driving excellence.
Health & Safety
1. Management of the Cambridge Health and Safety committee.
2. Provide H&S guidance and training to staff and new joiners on safe working practices.
3. Ensure all visitors are aware of the fire procedure and emergency exits.
4. Ensure there are always the required number of First Aiders and Fire Marshalls on site versus the number of colleagues.
5. Manage the Cambridge Fire Marshall committee.
6. Main point of contact for the building's facilities management.
7. Arrange and record on-site maintenance, services, and reports as necessary.
8. Arrange First Aider and Fire Marshall training as required.
Employee Engagement
1. Work collaboratively with the People Team and EAs to support site-based employee engagement initiatives.
2. Arrange events, activations, and continuous enhancement to bring ghd Values to life and our brand.
3. Gain regular feedback, taking action and making adjustments accordingly.
4. Work within a set budget and ensure appropriate spending.
Risk Management & Reporting
1. Create contingency plans for holiday and sickness cover.
2. Provide a detailed monthly update to the line manager and Global Director Of People.
3. Custodian of the site BCP, keeping it up to date and communicating it to all site employees.
4. Work closely with the finance partner to ensure accurate recording of invoices and reporting for site expenditure.
Others
1. Coordinate and invite a committee to organise the Good Care Days event.
