Job summary Your role will involve working front of house alongside an HCA, greeting patients and visitors in an efficient, kind and sensitive manner (as some of these patients will be facing a potential cancer diagnosis or have a life-limiting condition) and working as a key member of the wider outpatient team. Your duties will include entering data onto the hospital patient administration system (Millennium), booking appointments, making/receiving telephone calls from patients, GPs and other healthcare professionals, booking transport and other administrative duties associated with the role. You will be expected to be flexible when required, in order to cover reception colleagues' annual or unexpected leave. We are looking for candidates who have good computer skills, a cheerful and proactive approach and multi-tasking skills due to ever-changing priorities. An approachable, professional person with exceptional organisational skills and the ability to learn would suit this post. Main duties of the job Answer all telephone inquiries, taking action as appropriate, checking voice messages. Make, rebook or cancel appointments as necessary on our hospital appointments system. Ensure all patients are advised of a follow-up appointment with reasonable notice or after negotiation with the patient. Maintain patient details and appointments efficiently on the patient administration system (Millennium). This will include the occasional registration of patient referral letters. Assist in calling patients to ensure that they will attend their appointments in order to keep DNA ratesdown. To have or gain a thorough working knowledge of our Millennium appointments system and carrying out/updating training where necessary. To ensure that patient confidentiality is observed and adhered to at all times whether in person or by telephone. To be professional at all times particularly those patients attending LIFT clinics (cancer clinics). To be flexible to the needs of the department (such as when another receptionist is on leave) to ensure cover and smooth-running of the main reception desk in liaison with the lead secretary and lead receptionist.
