Your current duties and responsibilities are: -
1.
To work as part of a team providing effective administration support to workers and managers within the Service.
2.
To fully utilise IT to provide and develop that support and to be familiar with all operating systems used within the Service.
3.
To be fully conversant with ICS/The Child's File/Swift and act as a champion for this providing advice and support to social work practitioners and managers on non-social work processes.
4.
To minute meetings including child protection case conferences, and any reviews including those for Looked After Children, panel administration, strategy meetings and Child Appreciation Days.
5.
To ensure accuracy of the minutes for the meetings detailed above, inputting onto the relevant Children's Services IT system and appropriate distribution.
6.
Co-ordinating diaries to support staff, making appointments as required, booking rooms and ensuring that all those involved are aware of the arrangements.
7.
Acting as first point of contact for visitors in person and dealing with telephone and email contacts, ensuring that all persons contacting The Trust are welcomed and receive a fair and equitable service.
8.
Sorting, distributing and undertaking other tasks including necessary research for processing incoming and outgoing communications, ensuring accuracy of responses and required approval where appropriate.
9.
Accurate inputting of data onto the electronic data systems used within the Trust.
10.
Responsibility for maintaining files and record systems, whether paper or electronic. This includes photocopying, filing and ensuring consistency of records and filing under the network drive configuration.
11.
Ensuring that tasks allocated are completed accurately and within allocated timescales.
12.
To ensure the smooth running of premises and facilities under the direction of the Business Admin Supervisors and Managers.
13.
Arranging, ordering stock and necessary returns of office stationery as required. Dealing with suppliers to ensure effective control of stock and budgets.
14.
Processing of financial transactions and maintenance of financial records in relation to areas such as petty cash, safe keeping, ordering, inventories, stock levels, invoices, independent living allowances and payments to foster carers, ensuring adherence to the Trust's Financial Regulations. Analysis of those transactions and escalating any anomalies to the Business Admin Supervisors/Lead Business Manager as appropriate.
15.
Providing support and assistance to other members of the team where necessary, to meet the demands of the Service. Assisting in the development and embracing best practice within the team.
16.
To regularly review software applications and other IT systems to ensure that they are fully utilised.
17.
Ensuring that tasks allocated are completed accurately and within allocated timescales.
18.
To produce documents and information using appropriate computer software e.g. word, excel, power point etc.
19.
To participate in the operation of the Trust's Appraisal Scheme.

21.
Such other duties as may be appropriate to achieve the objectives of the post to assist the Thematic Area in the fulfilment of its objectives commensurate with the post holder's salary grade, abilities and aptitudes.

The post holder must at all times carry out his/her responsibilities with due regard to the Trust's policy, organisation and arrangements for Health & Safety at Work.
