Three-term Mayor of New York City Michael R. Bloomberg serves as President of the C40 Board of Directors, responsible for operational oversight. Position Description This is an exciting opportunity to play a crucial role in supporting the Operations department of our growing organisation. Alongside business as usual work, we are an agile team that implements global cross-cutting projects enabling the organisation to achieve its mission. We learn as we go, and we foster creativity. Working closely with the Global Operation Manager, the Operations Officer will be responsible for providing high quality support across the organisation for all operations matters, with an outstanding customer service approach. The role will also support the directorate initiatives and the delivery of all special projects within the Operations Team. Responsibilities: Operations Support Team – with the Global Operations Manager’s guidance, be the first line of support to the team which provides administrative support and special projects coordination and management to the wider Corporate Services directorate. Special projects may include new systems implementation, creating or revising written policies, procuring, and onboarding significant suppliers, updating department processes, etc. Functions of this team include: Coordination and some project management of all special projects Project and contingency planning Timeline tracking Resource planning Measuring results and reporting back to upper management Leading coordination and effective workflows across different teams for successful delivery and handover of the final product Composition of guidance documents and resources as needed, including developing launch/ release communications Project management – serve as a project lead on the projects as determined by the Global Operations Manager. This would include managing the full cycle of the project from inception to final implementation. Office management for the London office: serve as 1st point of contact in the office for any staff queries, liaise with the Building Management Team and/or other stakeholder as needed. The office is a serviced office, so this isn’t a full-time Office Manager role. Also ensure that the office runs smoothly and support external events within the Office, including key stakeholder events. Facilities – support the management of C40’s global facilities (offices in New York City, Washington DC, Copenhagen, Paris, Johannesburg, Singapore, Brussels, and Beijing). This includes: Serving as the 1st point of contact for all facilities related queries Desk space management Management of relationships with real estate suppliers Management of global expansion and planning strategies Travel Management – provide travel management support in managing the relationships with travel suppliers and travel risk factors of C40’s global travel programme: Serving as the 1st point of contact for travel related queries Monitoring the performance of travel suppliers Working with multiple suppliers including a travel management company and an international security firm Ensuring all travel policies and guidance documents are up to date Staying abreast of travel trends throughout 7 global regions and multiple points of sale Operation optimisation – improve operational excellence through identifying areas of improvement and proposing actions that meet challenges and create efficiency. Monitoring Health & Safety Regulation adherence in coordination with Risk & Compliance. Management of all external relationships in areas of responsibilities All other projects and tasks as assigned. Person Specification: Passion for Operations and Organisational support and interest in expanding their experience within the Operations and Corporate Services functions. Excellent interpersonal skills, great approachability, and ability to work across teams, geographies and cultures. Ability to adapt, prioritise and pivot when and if needed. Solid analytical, organisational and planning skills with excellent attention to detail, and a focus on business/ processes management Demonstrable experience in supporting various operational functions (including office management) and juggling many different responsibilities and projects. Experience in having successfully led and delivered projects. Excellent verbal and written communication skills Proven track record in working collaboratively and effectively with an international team of internal and external stakeholders.
