Key responsibilities will include:
1. Administer and maintain an effective system for responding to internal and external enquiries related to general data privacy, including privacy impact assessments, Subject Access Requests, and data breach incidents monitoring and reporting.
2. Review, maintain, and oversee legal compliance with Freedom of Information (FOI) requests and Data Security and Protection Toolkit requirements using project methodology.
3. Coordinate and liaise with Executive Directors, Heads of Department, and lead officers regarding data privacy and Subject Access Requests, acting as the point of contact for external enquiries.
4. Direct, support, and assist patients/public in person, by telephone, email, and in writing, taking ownership of resolving enquiries at the first point of contact where possible.
5. Provide advice to staff and patients/relatives/caregivers on relevant information governance procedures.
6. Monitor service performance and improvements, producing reports in conjunction with the Senior Information Governance Officer and Corporate Governance Manager.
7. Accurately capture details of all customer/staff contacts and maintain up-to-date, accessible records.
8. Support data privacy impact assessments and implement actions to mitigate identified risks.
9. Provide administrative support, including taking minutes, preparing meeting agendas, and coordinating reports and documents for the Board and committees.
10. Implement policies for own area of work and participate in proposing changes to policies and procedures.
11. Organise and manage documentation for meetings and events, ensuring senior managers have the required documentation.
12. Provide effective diary management for senior managers, prioritising appointments and coordinating schedules.
13. Support project management by gathering information, updating documentation, and identifying project risks and issues.
14. Assist in setting up and managing business and administration processes for the team.
15. Develop and maintain effective electronic and paper filing systems.
16. Act as a contact point for teams, responding effectively to complex queries from stakeholders.
17. Handle confidential and sensitive information, ensuring confidentiality and discretion.
18. Draft routine responses and ensure timely delivery of correspondence.
19. Support budgeting, forecasting, and tracking spend for projects.
20. Provide specialist training and support for staff.
21. Participate in the recruitment processes of support staff.
22. Undertake surveys or audits as required and support the development of key performance indicators.
23. Propose changes to improve policy and service delivery.
