We are looking for a detail-orientated and proactive event day, People Operations Assistant to ensure the smooth running of event day staffing and operational processes.
On operational event days, the focus is to execute event day check-in procedures, collaborating closely with Retail and Hospitality Operation leads, and working closely with the Safety and Security Team to manage accreditation passes and compliance. This involves:
Overview
1. Event Day Check In: Set up and break down of event day check in, assisting with the process for workers, ensuring smooth entry into the stadium whilst maintaining security protocols.
2. Accreditation: Working alongside the safety and security team to ensure accreditation passes, verifying credentials and addressing any discrepancies or issues.
3. Compliance Monitoring: Ensuring that all workers adhere to safety regulations, venue policies and event protocols throughout the day.
4. Communication and Coordination: Maintaining open lines of communication with all relevant teams to address any emergent issues or changes in plans leading up to and during the event.
Overall, the people operations team plays a crucial role in ensuring the efficiency, compliance, and success of both day-to-day HR functions and operational events.
Key Responsibilities
1. Staff Check In/Out: Assist with the check in/check out set up and process, ensuring all staff are scanned in/out using our workforce management system.
2. Uniform Checks: Inspect and ensure all staff are properly dressed according to the uniform guidelines.
3. Work Force Management: Ensure all staff are aware of their work location and assist with directions or changes if necessary.
4. Issue Resolution: Handle any on-the-spot issues related to staff, such as attendance, uniform problems, or task-related concerns and escalate where necessary.
5. Staff Support: Act as point of contact for event day staff during the day, provide assistance, answer questions, and address any concerns that may arise.
Skills and Qualifications
* Strong organisational skills with a high attention to detail.
* Experience in event co-ordination, people operations, or HR Support.
* Ability to manage multiple tasks efficiently in a fast-paced environment.
* Strong interpersonal and communication skills.
* Familiarity with uniform compliance and safety protocols.
* Ability to problem-solve quickly and make decisions under pressure.
* Flexibility to work irregular hours, including weekends and holidays as required.
* Comfortable using scheduling software or workforce management tools.
Preferred Qualifications
* Prior experience in Event Operations or Hospitality, working in live or large-scale events.
* Knowledge of Employment Law.
