We have an exciting opportunity for an experienced Senior Executive Assistant to join our busy global team. This role is responsible for managing the executive assistance function within IOPP, providing operational excellence and efficiency for the CEO Office. The role needs to be visible, and you could expect to be in our Distillery office (Bristol) 2 days a week.
Role Summary
What will you be doing?
The Senior Executive Assistant will be responsible for: maintaining and refining internal processes; planning and orchestrating work; and communicating with colleagues and customers on various projects and tasks to ensure senior executives’ priorities are met, organisational goals are achieved and best practices are upheld.
The Senior Executive Assistant provides direct support and assistance to the Chief Executive of IOPP and oversees a team of three Executive Assistants who provide support to the Chief Publishing Officer, the Chief Finance Officer, the Chief Sales Officer, the Chief Technology Officer and the Chief People Officer, as well as the Transformation Director, the Group Head of Legal and the Head of Communications.
Key job accountabilities:
1. Acts as a trusted right hand to the CEO, understanding the CEO’s priorities and how they fit with the strategic and operational goals of the organisation.
2. Forward plans, prepares and chases all required inputs and outputs for the CEO’s meetings, presentations and engagements.
3. Drafting, reviewing and editing communications on behalf of the CEO.
4. Works with the CEO to prepare budgets, objectives and KPIs, and tracks progress.
5. Designing and running an effective Executive Assistant function for the C-suite with direct line management of three Executive Assistants.
6. Manages the day-to-day logistics of the CEO office.
7. Leads short-term special projects as requested by the Executive.
8. Undertakes research and prepares briefings for the CEO.
9. Secretarial duties in support of the IOPP Board and Executive Director meetings.
10. Assistance in corporate record keeping for company entities.
11. Monitoring policies and processes as required by the CEO Office.
About you:
The successful applicants should demonstrate the following:
1. Extensive experience of Executive PA support
2. Line management experience
3. Technology proficiency, with advanced knowledge of MS Office applications such that you can teach others, including your Executive, how to use them
4. Exceptional interpersonal skills
5. Research skills
6. Project management experience
7. Proficient with figures, budget control and financial analysis
