Job Summary
Monumental is seeking a highly organised and proactive Executive Assistant (EA) to provide critical support to our CEO. This role will be instrumental in managing day-to-day operations, facilitating communication, supporting sales administration, and ensuring the CEO’s time is maximised. The EA will work closely with Jamie on a range of tasks, from managing schedules and travel to overseeing projects related to our TikTok Shop partnerships, Pride Edinburgh responsibilities, and upcoming webinars. This position offers an opportunity to work in a dynamic environment where adaptability and a proactive attitude are essential.
Key Responsibilities
Executive Support:
* Manage the CEO’s calendar, prioritising appointments and coordinating meetings across time zones.
* Plan and arrange domestic and international travel, preparing itineraries and handling all logistics.
* Draft, review, and send out correspondence on behalf of the CEO, maintaining confidentiality in handling sensitive company and personal information.
* Screen and prioritise incoming communications, ensuring key information reaches the CEO promptly.
Sales Administration:
* Provide administrative support to sales initiatives, tracking leads, maintaining client records, and updating CRM systems.
* Assist in preparing proposals, presentations, and sales documents as required.
* Support follow-up on sales enquiries, liaising with potential clients to ensure timely responses and updates.
Project Management:
* Assist in coordinating projects for Monumental, including marketing campaigns, client engagements, and webinars.
* Track progress on various tasks, particularly around TikTok Shop initiatives and Pride Edinburgh.
* Ensure follow-up on outstanding items, deadlines, and commitments made by the CEO.
Administrative Tasks:
* Organise and maintain an efficient filing and tracking system for documents.
* Handle personal tasks for the CEO when needed, ensuring a seamless workflow.
Required Skills and Qualifications
3+ years in an Executive Assistant or similar administrative role, ideally in a fast-paced or startup environment. Experience in marketing, digital content, or sales administration is a plus.
Skills:
* Exceptional communication skills, both written and verbal, with strong attention to detail.
* Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Monday).
* Basic understanding of social media platforms, especially TikTok and Instagram, and interest in content creation.
* Strong organisational skills with the ability to prioritise and manage time effectively in a remote work environment.
