Role Purpose: The Clinical Governance and Safety Coordinator ensures that safety, compliance, and quality standards are consistently met across all practices. This role focuses on managing safety alerts, overseeing incident reporting, leading quality improvement initiatives, and supporting clinical governance processes. It also involves infection prevention and control, policy management, and onboarding new practices. Role responsibilities are outlined below, but are not limited to: Safety Alerts Manage Safety Alerts By Review pharmacists' responses to safety alerts via the spreadsheet weekly Send reminders to the Pharmacy Hub if no response is received within two weeks Update the Practice Index with comments and actions taken Assign relevant safety alerts to the Practice Manager and staff as required Posting them on the Safety Alerts Channel via Microsoft Teams Updating the Safety Alert spreadsheet daily Incident Management Practice Level Receive incident reports from across the practices and uploading them to the incident management system. Updating the Incident Reporting spreadsheet Update Practice Index with suggested actions as agreed in the Incident Management Channel or during Clinical Governance Meetings Review incidents monthly when preparing clinical governance reports Hub Level Upload HUB-related incidents to the HUB clinical governance records Freedom to Speak Up Guardian Serve as the Freedom to Speak Up Guardian, providing support and promoting open communication Attend quarterly Freedom to Speak Up meetings Quality Improvement (QI) Attend regular meetings with the Practice Manager to review the Care Quality Commission (CQC) compliance grid document Create and document a Quality Improvement Plan based on the findings Attend monthly QI meetings with the Practice Manager and Regional Manager for new practices by: Reviewing Practice Index CQC tabs Updating the IPC action plan Adding evidence and tracking outstanding actions Maintain the audit log by recording audits performed at each practice Maintain the audit log by recording audits performed at each practice Administrative Tasks Take minutes at Practice Manager meetings Arrange clinical governance meetings monthly Organise clinical governance files Upload audits, QI plans, and IPC evidence to practice-specific files Clinical Governance Meetings Distribute the Clinical Governance report form to Practice Managers at the end of each month Prepare clinical governance reports monthly by reviewing: Incidents Complaints Mandatory training records Previous minutes IPC logs Lead QI meetings with the Practice Manager and Regional Manager to create a QI plan from the matrix & address QI, IPC action plans, or CQC actions on the Practice Index Document incident report themes for each practice on the incident reporting form monthly Take minutes at clinical governance meetings and share them with attendees Infection Prevention and Control (IPC) Organise and lead quarterly IPC meetings with each practice Review IPC audits and develop IPC action plans Support the preparation of annual IPC statements Policies Draft and update master policies and Standard Operating Procedures (SOPs) Onboarding New Practices Support The Practice Governance Induction Process By Gathering practice-specific information Updating and publishing relevant policies Completing emergency drug risk assessments Updating IPC and fire risk assessments Organising necessary meetings Essential Criteria Proven experience in clinical governance, quality improvement, or safety management within healthcare settings Strong knowledge of incident management, infection prevention, and compliance frameworks Excellent organisational skills with the ability to manage multiple priorities effectively Strong communication and interpersonal skills for liaising with diverse stakeholders, including Practice Managers, Regional Managers, and healthcare teams Strong understanding of healthcare regulations, including infection control standards and Care Quality Commission requirements Desirable Criteria A degree or qualification in healthcare management, risk management, or a related field Previous experience in a primary care or GP practice setting Familiarity with Practice Index or similar clinical governance tools Experience as a Freedom To Speak Up guardian Benefits 27 days annual leave plus 8 bank holidays (pro-rota) Enhanced pension Enhanced parental leave Life Assurance Critical illness cover
