Job Title: Studio Manager and Client Relations – Maternity Cover (9-Month Fixed Term Contract)

Since 2001, we have been inventing and licensing our ideas for leading companies and their brands such as Barbie, Fisher-Price, Star Wars, Hot Wheels, Monster High, Teenage Mutant Ninja Turtles, Disney Princess, My Little Pony, and Polly Pocket. We also build ‘one-off’ unbranded concepts too, like Gravity Maze and Total Action.
The Role:
We are looking for an organised, detail-oriented, and proactive Studio Manager and Client Relations professional to cover a maternity leave on a 9-month fixed-term contract. This role will involve a range of responsibilities, including studio planning, project management, relations, and coordination of both internal and external partners.
Key Responsibilities:
1. Project Intake, Studio Planning & Resourcing:
* Conduct weekly meetings with the team to track project flow and address any bottlenecks or pinch points.
1. Digital Asset Management:
* Ensure that new concepts are properly inputted into Airtable, following correct processes and timelines.
* Submit historical concepts to Airtable as necessary.
2. Risk Identification & Escalation:
* Identify potential project risks (e.g., lack of resources, timeline delays) and escalate issues to senior management.
* Act as the key liaison between clients, third-party inventors, freelancers, and internal teams.
* Manage and track client submissions, feedback, and review periods, ensuring clear communication and timely follow-ups.
* Distribute client briefs and wish lists to the internal and external teams.
* Ensure proper documentation, including submission logs, feedback, and asset management.
3. Finance & Legal Administration:
* Manage contract documentation (e.g., licences, agreements).
* Oversee contract management for freelancers, employment contracts, and NDAs.
* Track and manage freelancer budgets and invoices, ensuring proper legal compliance.
4. Trips & Events Coordination:
* Schedule and prepare assets for international trips and industry events.
* Attend virtual and in-person meetings to support directors, taking minutes and following up on actions.
* Manage studio calendar, including staff holidays and client events.
* Support HR by updating Airtable with freelancer contact information, portfolios, and day rates.
5. Other Duties:
* Oversee social media calendar with the Commercial director, ensuring timely updates and content sharing.
* Indirectly manage one report, conducting 121s and fielding any questions or concerns.
What We Are Looking For:
* 2-3 years of experience in a studio management or project administration support role in a similar industry.
* Highly organised with the ability to manage multiple tasks and deadlines.
* Strong interest or background in toys and games is a plus.
* Experience with Airtable, Microsoft Office, and Google Sheets/Docs.
Required Skills:
* Exceptional time management and organisational skills.
* Strong attention to detail, with the ability to manage multiple projects and stakeholders simultaneously.
* Excellent written and verbal communication skills.

* Working Hours: 09:00 – 17:30, Monday to Friday. Ad-hoc working from home available upon request.
