Hybrid office based 2/3 days per week Salary circa £40,000, plus benefits We are thrilled to announce an opening for an enthusiastic and driven Payroll Lead to join our HR team at Caledonian Sleeper (CSL). This is an exciting time to join us as we develop our new HR operating model, systems and practices following our transition to Scottish Rail Holdings. As the Payroll Lead, you will be responsible for providing effective management of the Payroll function and all associated monthly and annual processes. You will lead the development of our payroll services, ensuring a focus on continuous improvement and customer satisfaction while meeting statutory responsibilities and organisational objectives. Additionally, you will support system and process enhancements to optimise efficiency within the payroll system. The primary responsibilities of this role include processing all payroll elements including pensions, benefits in compliance with statutory requirements. The role also involves liaising with our payroll and pension providers to ensure all payroll elements are managed in a timely manner ensuring all regulations are applied consistently and accurately. Main Accountabilities: Oversee Payroll Service operations, including HMRC reporting and all monthly and annual payroll processes via the payroll provider. Liaise with the payroll provider and key CSL stakeholders. Generate reports related to employee benefits and update information with providers. Complete monthly payroll templates for our payroll provider. Provide management reports to enhance performance and inform strategic decisions, along with other duties as needed. Ensure data accuracy through rigorous checks and regular data integrity assessments. Apply terms and conditions related to pay and entitlements accurately. Respond promptly to payroll queries from employees and managers. Meet performance standards as outlined by CSL policy and regulatory bodies. Collaborate with system stakeholders to keep the Payroll System updated through regular upgrades and testing. Deliver a responsive and inclusive approach in partnership with CSL and its stakeholders. Foster a culture of continuous improvement, empowering employees and ensuring performance evaluations through self-assessment and customer engagement. Support strategic initiatives as directed by the Head of People. Adhere to regulations, data protection laws, diversity, and customer service standards in all duties. What you’ll need: Essential Qualifications and Skills: Relevant degree or equivalent qualification, with membership in a professional organisation (e.g., CIPP) and evidence of ongoing professional development. Knowledge of daily payroll operations. Ability to analyse complex information and develop strategic plans. Strong communication skills, both verbal and written. Initiative in identifying and implementing solutions to various challenges. Self-disciplined with the ability to meet strict deadlines. In-depth understanding of financial issues related to payroll and pensions. Comprehensive knowledge of relevant payroll and pension legislation. Proven experience in driving innovation in payroll processes. Desirable Qualifications and Skills: Demonstrated discretion and tact in handling sensitive information. Proficient in applications such as Excel, Word, and MS Teams. Ability to work within time and budget constraints. Thorough understanding of payroll obligations, including statutory requirements. Strong analytical skills applicable to diverse situations. Excellent communication skills, with experience in negotiation and presentations to various audiences.
