Job overview
An exciting new role has arisen for an organised, motivated individual with good interpersonal skills to join Kettering General's Maternity service. The post-holder's role will include a broad range of activities including (and not limited to) reception, patient and general administrative duties. The successful candidate should have excellent IT skills, solid knowledge around excel spreadsheets, and an understanding of Microsoft Teams (although training in the latter can be provided).
We are looking for a polite, enthusiastic, and driven administrative assistant to match a fast-paced patient-facing unit. You will need to be passionate about providing patients, staff, and visitors with the best possible experience, from answering the phone to being a point of help to visitors. The post is 20 hours per week based over 5 days, and the successful candidate will be mainly based in one of our 3 community Midwifery Hubs (Corby, Kettering, and Wellingborough), but must be flexible at times of prolonged sickness/annual leave.
Main duties of the job
* Apply appropriate communication methods using a range of verbal and non-verbal skills effectively and professionally, welcoming and treating everyone (patients, colleagues, and Trust Staff) in a friendly and courteous manner, presenting a good image of yourself through your attitude, behavior, and appearance.
* Provide a receptionist service for the community Hubs, liaising with patients and medical staff appropriately.
* Explain and share information appropriately.
* Keep accurate and complete records.
* Plan and organise a range of straightforward tasks to set timescales to ensure the provision of a professional clerical/administrative/secretarial service as requested by manager and others (i.e., patients, colleagues, and Trust Staff).
* Ensure all telephone enquiries are efficiently and effectively handled with advice sought as appropriate.
* Undertake administrative duties for staff, including answering the telephone, managing confidential waste, ensuring that all office machinery is in working order, collecting and distributing mail, photocopying patient-related information, ensuring the areas are stocked with the appropriate office stationery/paper, and placing orders for any items needed.

Person specification
Education Knowledge & Skills
* Educated to GCSE Level or equivalent
* Numerate and literate
* Previous experience of working as part of a multi-disciplinary team
* Previous clerical/administrative work
* Basic computer skills including knowledge of the Microsoft Packages
* Knowledge of healthcare IT systems
* Effective written and oral communication skills
