We are primarily data driven with domain expertise delivering insights to water networks and assets using analytics, presentation, machine learning and AI that is SAAS and cloud based. Role Overview
The Office manager is responsible for the smooth operation of the StormHarvester office and is expected to provide a quality service to internal employees.
Due to the start-up nature of the business, this role has a broad remit but with this comes an excellent opportunity to shape the company culture.
We are committed to providing all of our staff with a positive employee experience, and to help us shape the future of this workplace we are looking for an experienced and dynamic Workplace Manager to support and oversee a number of critical Workplace functions: Facilities, HR, Administration, IT, Health and Safety and Quality Management, ensuring smooth day-to-day operations and a high-performance workplace.
As Office Manager, you will be the backbone of our day to day operations, creating an efficient, organised, and productive work environment.
Key Responsibilities
Facilities Management (FM)
1. Oversee office operations, maintenance, and supplier management (cleaning, security, supplies, stationary, IT support).
2. Ensure best practice across health & safety compliance, emergency procedures, and risk assessments.
3. Work with management to plan for and optimise workspace layout, provide office equipment in a timely manner and deliver all to requirements that facilitate growth.
4. Provide a physical environment that delivers a positive employee experience.
5. Manage contracts, leases, and relationships with service providers.
6. Maintain the office condition and arrange necessary repairs, escalating issues to landlord where necessary and ensuring resolution.
7. Communicate with employees about the condition of the office.
8. Create surveys to gather feedback / ideas on improvements.
9. Keep the kitchen stocked with refreshments e.g. coffee, milk and biscuits.
10. Arrange catering for external meetings taking place in the office.
Human Resources (HR)
1. Assist Head of People in recruitment activities, supporting onboarding, and offboarding processes.
2. Support adherence with HR policies and development of engagement initiatives.
3. Support the coordination of in-house training programs.
4. Organise and plan company events.
5. Support inductions for all new employees to cover:
6. Building tour/Access
7. Parking
8. Hardware requirements
9. Advice on who can deal with other queries i.e. Payroll issues to Finance team etc.
The office manager is a focal point for new joiners and should ensure they have everything they need to settle into their new role.
Administration
1. Manage an office budget, controlling expenses, and procurement of supplies and equipment.
2. Handle travel arrangements, meeting coordination, and scheduling for the team.
3. Develop and implement administrative processes to improve efficiency.
4. Act as the first point of contact for internal and external stakeholders.
Events
1. Manage the monthly company lunch. This involves gathering lunch suggestions, contacting the restaurant ahead of time, communicating arrangements, and travelling to the restaurant on the day.
2. StormHarvester holds quarterly company events (December and June in person, and March / September remotely). This role will ‘own’ these events, including:
3. Booking dates in advance to ensure high attendance.
4. Gathering ideas for upcoming events from employees.
5. Communicating with staff in the lead-up to events to gather dietary requirements, travel arrangements etc.
6. If there are multiple presenters, work with CEO to agree timings and brief them on slide requirements, ensuring all slides are submitted and arranging tech setup on the day.
For remote events, this likely will only involve a meeting room booking and slide collation.
Governance
1. Support the implementation and monitoring of quality management systems (ISO 9001 and 14001, running internal audits).
2. Ensure compliance with company policies, industry regulations, and best practices.
3. Champion ESG workplace initiatives and achievement of sustainability targets.
4. Assist in creating and maintaining quality documentation related to all workplace activities.
5. Work with 3rd parties to maintain accreditations within required audit cycles (ISO, Ecovadis, ICO, DEI).
6. Work with teams to improve processes and enhance operational efficiency.
What we need from you
Requirements
1. Proven experience in a coordination/management capacity (preferably in a tech environment).
2. Familiarity with quality standards (ISO, GDPR, etc.) is a plus.
3. Excellent communication and interpersonal skills.
4. Proficiency in office software (Google Workspace).
5. Strong organisational, problem-solving, and multitasking abilities.
6. Self-motivated, assertive, proactive, outgoing and organised.
7. Proven experience of building strong and positive external relationships with a range of key stakeholders.
8. Ability to work independently and pro-actively, handling multiple projects.
9. Ability to work under pressure and to tight deadlines.
10. Thorough with strong attention to detail.
