Responsibilities:
Your main day to day responsibilities will include (but not limited to):
* To ensure effective project support via the co-ordination of documentation and meetings with the programme manager and associated project and workpackage leads (project teams).
* To support the communication of the hybrid approach of agile technological development with waterfall dependencies at the programme level.
* To ensure the agile task management of technology and waterfall management of the roadmap and dependencies are in synch.
* To update documentation such as roadmaps, RAID log, task planner/Kanban board, Gantt chart and calendars: as dates, activities and tasks are planned and evolve.
* To take notes and actions in meetings and record them in the MS Teams meeting notes and tasks as well as MS Planner.
* To organise and prepare documents, correspondence and reports requiring the integration of multiple 365 tools with limited direction.
* To provide and obtain information to and from colleagues in the main using and updating the Sharepoint wiki and project governance tools such as RAID log, Kanban board and milestone Gantt chart.
* To produce clear, concise communications about project progress and plans, whilst eliminating the duplication of messaging or online documentation.
* To communicate and/or coordinate the programme manager’s instructions with various individuals and/or teams, tracking this and progress chasing as required.
* To support research, testing and information gathering: summarising, and analysing basic data in Excel.
* To assist the Programme manager and project team in coordinating the benchmarking and testing of technical products.
* To assist the Programme manager and project team in the preparation and presentation of briefings and reports.
* To support the administrative and co-ordination tasks involved in designing, building, approving, and outsourcing communications products such as explainers and video tutorials.
* To undertake lower level project work as required, effectively coordinating activity and maintaining project documentation and as required by the Programme Manager and project team.
* To facilitate finance/budget processes, such as obtaining quotes and chasing invoices and supplier payments, or monitoring costs and expenditure.
* To use own initiative to problem-solve and to resolve ‘live’ issues as appropriate.
* To support the streamlining, understanding and ease of use of project governance (administrative process and procedures).
* To arrange and coordinate; training sessions and seminars, working in cooperation with the wider project team and members of the department.
* To be flexible and adaptable in order to meet the varying demands of the role and have the ability to react calmly and professionally under pressure to get the job done.
* To support the organisation’s technological approach, working with colleagues to ensure a cohesive vision of the programme.
Skills & Experience:
* At least 5 years experience of working in an administrative and/or project environment.
* Experience of ensuring project and process documentation is uptodate, has version control and is filed/saved according to governance standards.
* Experience of collating risks, issues, decisions and actions for RAID logs including clarifying and confirming information is accurate. Understanding of likelihood and impact to assess risk. Able to suggest mitigations.
* Experience of working with Agile project management techniques such as Kanban, scrum and sprint.
* Experience of working in a public sector environment.
* Experience of using MS Planner as part of the Microsoft 365 suite.
* Experience of using online collaboration tools such as Microsoft 365 to collate and consult on shared documents.
* Excellent use of written and verbal English. Able to consolidate and streamline long reports, transcripts and complex information into simple to understand bullet points. Able to proof read and correct spelling and grammatical mistakes.
* Excellent use of search engines to support knowledge and project approaches when encountering new subject matter or project methodologies.
* Good use of Excel. Able to create formulas e.g. countif, averages and sum. Able to create drop downs and look ups for fields as well as conditional formatting.
