Job Summary
An exciting opportunity has arisen within the Chestnut Unit for a full time Band 4 Team Leader. We are looking for an enthusiastic, energetic individual to work in this busy department to support the delivery of a high-quality administration service.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS at Risk staff throughout Devon who can display recent relevant experience as dictated by the Person Specification.
Main Duties of the Job
1. Assist the Clinical Admin Managers and wider senior management team in ensuring that all appropriate patient administration of the outpatient and inpatient pathways through the Urology Department are governed according to Trust protocols and targets.
2. Contribute to the effective delivery of patient pathways and achieving strict targets through detailed knowledge of hospital administration systems, providing instrumental support for future projects to reduce patient waiting times.
3. Provide management support to a group of admin assistants and provide a comprehensive administrative service to a consultant and/or group of medical staff in an efficient and timely manner.

Job Responsibilities
1. Supervise and motivate a team of admin assistants to deliver a high-quality service.
2. Ensure that the team is supervised on a day-to-day basis, monitoring workloads, and providing the service line management team with updates using routine and exceptional reporting processes.
3. Ensure sufficient cover at all times and work with service line teams to ensure sufficient secretaries are available during core working hours.
4. Work with Clinical Admin Manager/Support Manager to ensure key performance standards in relation to patient access are met.
5. Supervise and train junior staff and work with the directorate in recruiting new members to the team.
6. Co-ordinate specialty waiting lists /PTLs, including Cancer PTL, within the framework of the Trust's Waiting List Policy.
7. Escalate concerns regarding capacity issues which affect patient access.
8. Work with service line management team to develop administrative procedures to enhance the smooth management of the department.
Person Specification
Qualifications
* NVQ level 3 in Business and Admin or equivalent or demonstrable equivalent experience.
* Audio typing or equivalent or demonstrable equivalent experience.
Knowledge & Experience
* Demonstrable experience working in a large clinical setting.
* Demonstrable ability to use all main software packages.
* Proven knowledge of patient management systems.
Aptitude & Abilities
* Excellent organisational skills.
* Ability to communicate at all levels.
* Ability to work as part of a team and independently as required.
* Adaptability, flexibility, and ability to multi-task.
