Operations Executive Job Description
As an Operations Executive at Motorsport Events, you will manage key logistics for major events such as our tentpole operation at the Le Mans 24 Hrs, including ticketing, inventory, supplier coordination, and budgeting. The role also involves leading smaller events, supporting office operations, and contributing to long-term projects with a focus on developing our product offering and improving customer experience at our current schedule of events.
Main Responsibilities
1. Help manage key logistics for major events such as our operation at the Le Mans 24 Hrs and other key events.
2. Source new quality suppliers as well as work with existing suppliers, creating and maintaining strong working relationships.
3. Oversee event inventory management, ensuring that all items are accurately tracked and available when needed.
4. Help manage ticket stock from supplier to customer to meet sales and distribution goals.
5. Assist in managing the entire ticketing process, from sales to customer fulfillment, ensuring seamless ticket operations.
6. Help curate and work to ensure all events proceed within budgetary restraints while liaising with line manager to make sure cost of goods are within said budgets.
7. Aid in the development and management of event schedules and staff rotas to ensure smooth event execution and efficient staff deployment.
8. Manage smaller teams of internal and external staff on events of up to around 5 people.
9. Lead smaller events and tours, taking full ownership of planning, logistics, and execution.
10. Attend additional events, such as trade shows and company trips, as required, representing the company and fostering new business relationships.
11. Assist in designing and curating event merchandise and branding materials, ensuring they align with the event's image and objectives.
12. Coordinate team logistics, as well as providing support to the sales team with operations and logistical planning.
13. Collaborate with other departments, such as customer service and marketing, to ensure cohesive event execution.
Other Responsibilities
1. Maintain up-to-date organization and inventory of all files, subscriptions, and company-owned units.
2. Handle some smaller office operations and administrative tasks, ensuring smooth day-to-day functionality.
3. Conduct minor data analysis, providing insights and reports to improve operational efficiency.
4. Present new ideas and proposals to enhance the company’s offerings and drive business growth.

7. Willing to take on tasks of varying scope, from minor details to major projects.
8. Comfortable with Excel to use for budgeting, some data analysis, and reporting.
9. Ideally has the ability to drive, with a preference for candidates who are comfortable driving abroad.
