We are a dynamic project-focused company that thrives on delivering excellence in our field. To support our growing operations, we’re seeking an adaptable and organized Administration Assistant who can take charge of general administration tasks and help streamline our processes.
Role Overview:
As an Administration Assistant, you’ll be responsible for the day-to-day administration of our business operations. You’ll support the team with document management, meeting coordination, and efficient use of SharePoint, excel and word. This role is ideal for someone with strong organizational skills who thrives in a fast-paced, project-oriented environment.
Key Responsibilities:
- Document Management: Create, update, and organize business documents, presentations, and reports using Microsoft Office and SharePoint.
- Meeting Coordination: Schedule meetings, prepare agendas, take accurate meeting minutes, and distribute follow-ups.
- SharePoint Administration: Maintain and update the company’s SharePoint site, ensuring information is organized and accessible.
- Administrative Support: Manage general office administration tasks, such as correspondence, filing, and scheduling.
- Team Support: Assist project teams with any administrative needs to facilitate smooth operations.
- Process Improvement: Identify and implement improvements in administrative processes for efficiency.
What We’re Looking For:
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
- Solid understanding of SharePoint, including document libraries and site management.
- Excellent communication skills, both written and verbal.
- Ability to take clear, concise, and actionable meeting minutes.
- A proactive, problem-solving mindset and ability to work independently.
- Previous experience in an administrative role, ideally within a project-driven environment, is desirable but not essential.
