Position Overview
The Executive Assistant provides support in a variety of functions to the VPs and the EMEA Delivery Leadership Team. Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the VPs for consideration. Summarises, prioritises and researches information into a concise and usable format for the VPs to review. Responds to, or routes, priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the VP. May create, or coordinate, reports, charts, budgets and other presentation materials for the VPs. Coordinates high-level projects, travel arrangements, interviews and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and full understanding of the company's operations, procedures and objectives. Contributes to moderately complex aspects of a project. An ideal candidate for this position is resilient, detail-oriented and a problem-solver. Must be comfortable working with a wide range of stakeholders in different time-zones. Position requires integrity, objectivity, promptness and the ability to stay organized in a fast-paced environment. Projecting a positive, confident attitude, with strong customer service skills, will be essential to success.
Essential Job Functions
1. Coordination of daily calendar, travel arrangements (domestic and international), and administrative activities for the VPs, EMEA and other members of the Delivery Leadership Team, EMEA where required
2. Event planning and support logistics
3. Expense report preparation
4. Manage office organisation, communications, and schedule flow
5. Office and project management, requiring independent discretion and decision making, without close supervision
6. Uses discretion, judgement, and knowledge of organisation to facilitate leadership activities
7. Conference room management, including meal ordering when appropriate
8. Office reception & customer service
9. Periodic filing, both hardcopy and softcopy
10. Shipping & receiving documents and packages
11. Internal company communications
12. Be able to prioritise your workload
13. Contribute to the continuous improvement of processes and procedures
14. Identify opportunities to develop processes to meet business requirements
Job Requirements
15. Business Degree or equivalent
16. 5+ years of experience in an administrative, organizational or other detail-oriented function
17. 2+ year as an Executive Assistant
18. Highly-organized, energetic and a fast learner
19. Excellent presentation skills
20. Excellent communication skills: written/grammar/spelling, verbal (formal and informal), listening and talking
21. Experience with Microsoft tools, including the ability to schedule, track, report and follow-up using these tools
22. Experience with Outlook calendaring is required
23. Experience with SharePoint, preferred
24. English language is mandatory. Knowledge of other languages such as German or Italian is desirable, but not essential.
