Job description Role Were looking for an Executive Assistant to join our CEO team, supporting our CEO and Chief of Staff. Youll be joining at a critical point in our journey, transforming the pensions market and evolving TPR into a proactive, risk-based regulator. As an Executive Assistant, you will provide high-level administrative support to our CEO and Chief of Staff, ensuring they can focus on strategic initiatives by managing their schedules, communications, and administrative tasks. You will work alongside our Senior Executive Assistant to the CEO, providing expert administrative support, communication and information management as well as small project management. Your ability to manage complex schedules, prioritise tasks, and handle confidential information with discretion will be key to our leadership teams success. As the main point of contact for internal and external stakeholders, you will build positive relationships, handle queries and correspondence efficiently, and support the delivery of our strategic aims. Responsibilities As Executive Assistant, youll be responsible for: Administrative support: Provide high-level administrative support by managing calendars, scheduling appointments, and organising meetings. Prepare and review documents, reports, and presentations with precision and professionalism. Handle expense processing and manage travel and accommodation bookings efficiently. Communication management: Act as the primary point of contact for internal and external collaborators, representing the CEO and Chief of Staff. Maintain a positive and efficient flow of communication by managing email correspondence, screening phone calls, and handling inquiries independently. Support the Senior Executive Assistant and cover in their absence, drafting emails to internal and senior external stakeholders, including government officials, schemes, trustees, and employers. Information management: Proactively gather and compile relevant information and data to assist the CEO and Chief of Staff in decision-making and planning. Ensure that information is organised and easily accessible. Handle sensitive and confidential information with the utmost professionalism, always maintaining strict confidentiality. Meeting and project coordination: Plan, schedule, and coordinate executive-level meetings and organisation-wide events. Prepare meeting agendas, collect and distribute relevant materials, and follow up on action items to meet deadlines. Oversee small projects, ensuring they are planned and executed seamlessly by managing logistics, timelines, and collaborating with various departments. Take accurate meeting minutes and disseminate them promptly. Relationship management: Cultivate and maintain positive relationships with key partners, including Exco members, internal staff, and external stakeholders. Person specification Essential Criteria Demonstrated experience in providing high-level administrative support to senior executives, including managing schedules, communications, and administrative tasks. Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders, including government officials and senior executives. Exceptional organisational and time-management skills, with the ability to prioritise tasks, manage multiple responsibilities, and meet deadlines efficiently. Experience in coordinating meetings and managing small projects, including organisation-wide events, with a focus on logistics, timelines, and collaboration across departments.
