The Administration Officer will be responsible for overseeing all administrative duties as noted below and as agreed with the Corporate Services Manager. To be an effective, highly motivated team member who will assist in the co-ordination of all resourses and programme management for Upkeep and to assist the management team to achieve the highest quality standards of voids management, reactive maintaince and cyclical project services to Shettleston Housing Association and other clients.
1. To maintatin an overview of the resourcing and programming of all works undertaken by Upkeep and co-ordinate scheduling of resources across the organisation.
2. Managing databases and administering the day to day implementation of the Total Mobile / Open contractor system
3. To assist in the planning and delivery of projects, ensuring that they are scheduled and resourced to the level necessary for Upkeep’s Trade team to deliver in line with Upkeep’s set KPIs.
4. Using a range of software packages
5. Invoicing & processing supplier invoices
6. Assisting the organisation's HR functions by keeping personnel records up to date, arranging interviews and providing appropriate information for reporting to the Upkeep Board
7. Taking appropriate minutes and recording meetings
8. Preparing letters, presentations and reports
9. Dealing with correspondence, complaints and queries
10. Liaising with staff, suppliers and clients
11. Assist RC organising induction programmes for new employees
12. Carry out any reasonable tasks that may be required in line with the Upkeep’s business needs and objectives.
