The Role:
Working closely with the Head of Ops and CEO to be responsible for the smooth operational running of music programmes and bespoke events across the year, and to further develop the Festival’s ambitions in broadening audiences through education and innovative performance activity.
The postholder will be the first point of contact for all administrative enquiries relating to the music seasons and additional events and will ensure the overall experience is of the highest standard for artists and audience alike, maintaining our reputation as a flagship festival in the north of England.
Responsibilities:
• Develop and shape HIF’s music and events programmes to ensure artistic and financial success, working with the artistic team to engage in ambitious, creative thinking and delivery
• Manage all planning, programming and operational event management of artistic, financial and administrative functions relating to HIF’s portfolio of music events and bespoke events to a high standard
• Be the primary point of contact for agents and artists, maintaining positive relationships and developing innovative opportunities
• Work with Head of Ops to establish overall budgets and maintain relevant financial targets for music and events ensuring compliance of HIF Internal Controls for financial management
• To be responsible for achieving ticket and income targets, establishing and developing successful partnerships and relationships
• Support the CEO to source, secure and develop outside income streams to contribute to both annual financial targets and support the long-term fundraising strategy
• Deliver against strategic objectives in relation to major stakeholders and partners, working closely with the partnership and marketing managers to support sponsorship launches and festival hospitality, ensuring maximum artist involvement
• To ensure all operational delivery is serviced including artists riders and requirements, and to produce all event paperwork to a high standard – ops sheets, stage layouts, rehearsal schedules
• Develop and deliver the marketing & communications strategy for all music and bespoke events including writing inspiring copy and co-ordinating design, print, online and PR in line with the marketing strategy and to reach audiences effectively

• To use tools throughout the year to ensure audience data and marketing are captured and evaluated effectively for dissemination across stakeholders
• Co-ordinate Box Office arrangements relating to events within this role including Spektrix and website, monitoring targets & audience plans
• To supervise the day to day work of support team members, having awareness of pressure points and priorities across the year including mentorship and guidance
• To be responsible for briefing and supervising staff and volunteers on events
• To write programme notes and event copy for print and digital
• To ensure compliance with all relevant legislative requirements, including health and safety, safeguarding of children and vulnerable adults and equal opportunities within events delivery
• To support the delivery of accessibility requirements, sustainability, diversity and inclusion within the live events environment
General Responsibilities:
* To collaborate with the CEO to determine a programme of established and new events to raise the profile of HIF in line with resources
* To attend external meetings, representing HIF where appropriate, including across the region and the UK
* To support and assist in co-ordination of all Harrogate International Festival events across the year-round portfolio
* To provide administrative support where required for meetings, funding applications etc.
* To share responsibility for the well- being and management of the organisation
* Any other duties as required by the CEO
Person Specification:
Essential skills and experience:
• Extensive knowledge and experience of artistic and logistical planning of classical music events with multiple stakeholders • Significant experience of managing live events
• Extensive planning and organisational skills, working both independently and as part of a team, able to manage several areas of work at a time; prioritising delivery consistently to deadlines and reacting positively to change and conflicting priorities
• Good ability to problem solve, manage event timelines, negotiate and organise events within budget constraints
• Experience of successfully leading ad hoc event teams
• Skilled communicator, able to lead, motivate and foster collaboration in a diverse team • Ability to empower teams and colleagues
• Good experience of forecasting and managing budgets
• Knowledge of health and safety regulations and matters relating to child protection
• Aptitude to master new systems and excellent IT skills
• Full driving license
Other information:
The salary banding for this post is £25,000 to £30,000pa according to experience.
The appointment will be subject to a three month probationary period. After a formal assessment and assuming performance has been satisfactory, the appointment will be confirmed. Notice will be one week in writing on either side during the probationary period rising to eight weeks once the appointment is confirmed.
Office hours are 9.30am – 5.30 pm – generally a 35 hour week. On occasions you will be required to work long hours including evenings and weekends in order to fulfil the role and meet deadlines/requirements, for which HIF does not make overtime payments. HIF moves to a six day week during the summer season. Some days will be spend working on site at events. The place of employment will be the HIF office, which is in central Harrogate, and as required by HIF at such other place where the organisation carries on its proper business.
Annual leave for this post is 23 days in addition to Bank Holidays. You will be required to travel throughout the region. Travel expenses will be reimbursed on the basis of the cheapest available public transport fare or at the appropriate rate for mileage established by HIF.
