Position Summary
Based out of New Glasgow, the Property Administrator contributes to Crombie’s success by projecting a positive and professional image at all times and ensuring our tenants receive the highest level of customer service. This role is a key provider to the operational success of various Crombie properties through the development and implementation of effective procedures for the continuous improvement of administrative property operations. The Property Administrator also oversees office supplies and services. Additional duties of the Property Administrator include but are not limited to:
* Providing administrative support, including the preparation of general correspondence, and maintaining files.
* Processes operations payment documents, including invoices, for all required information, authorization, and tenant recharges within Yardi.
* Serves as the primary point of contact for internal stakeholders, as well as suppliers, regarding property level invoice processing, payment inquiries, and general inquiries and issues.
* Acts as the SAP timekeeper for assigned portfolio/region.
* Works with the AP team to reconcile vendor accounts, as required.
* Provides ownership for data entry and data collection for various operational systems including monthly accruals.
* Collects, maintains, and verifies tenant insurance for lease compliance.
* Collects and verifies contractor Insurance, WCB, and Contractor Compliance forms.
* Assists with monthly AR collections and tenant account reconciliations and initiates collection escalation activities to ensure that rents are paid on a timely basis.
* Assists in preparing, compiling, assembling, and ensuring the accuracy and quality of all monthly, quarterly, and annual report(s) for respective properties in consultation with the various departments as required.
* Maintains all lists, including but not limited to, portfolio lists, tenant lists, emergency manuals, contact lists, site plans, floor plans, and others as required.
* Administers service contract preparation, tendering, analysis, and documentation.
* Provides superior customer service to all Crombie employees, clients, and suppliers by responding professionally and promptly to all questions, inquiries, and requests.
* Prepares and administers tenant notices, records, updates, and distributes documentation and correspondence for building maintenance/repairs, HVAC, site services, parking records, etc.
* Oversees office supplies and services including but not limited to coordinating maintenance schedules, ordering and re-stocking supplies and equipment as needed.
* Ensuring proper office cleaning is carried out, completing checks to ensure contractor compliance, as applicable.
* Engages across all levels of the organization to create and promote a safe and respectful work environment.
* Other special projects and tasks as assigned.
The profile we are looking for
* Three to five years (3-5) of administrative experience, commercial real estate or administration.
* A post-secondary diploma in Business or Office Administration or related experience.
* Proficiency in MS Office Suite.
* Bilingual in English and French, both spoken and written is considered an asset.
* Ability to work independently with a methodology in tasks and saving documents to internal websites.
* Experience in organizing and working with the public.
* Professionalism and superior communication skills both verbally and written.
* Ability to develop and build upon existing relationships both internally and externally.
