Job
Purpose
Provide exceptional service and
hospitality to all members and visitors within the Townhouse, ensuring smooth
and efficient operations across the reception and floors in alignment with
AllBright standards. Support the Management and Townhouse teams in fostering a
positive, engaged community by assisting members, guests, and clients with
requests and inquiries, including memberships, bookings, payments, and facility
use. Deliver a dependable, approachable experience so members feel confident
and well-supported in their daily activities. Act as an enthusiastic ambassador
for AllBright, promoting membership growth through meaningful and engaging
interactions.
Outline
of Key Responsibilities:
Hospitality
* Build positive and engaging relationships with all members,
customers, potential customers, industry professionals, business partners and
colleagues
* Welcome members with genuine warmth and assist with a generous
attitude
* Coordinate event arrival and departure experiences
* Stay attentive to and keep track of client’s feedback, comments,
repeated enquiries, and trends, and share them with your line manager so we can
improve our services and offers
* Provide accurate information and guidance with clarity and use of
professional yet welcoming language and tone of voice
* Stay updated with our restaurants offers and provide your personal
recommendations to members if the opportunity arises
Service Delivery
* Maintain a passion for service and hospitality whilst hosting
busy, high volume and varied reception areas
* Handle phone, in person and email enquiries relating to AllBright’s
Townhouse offering, facilities and services with efficiency
* Respond to complaints and issues promptly, with a flexible,
efficient, and sympathetic approach. Duly record on the feedback tracker and
report to your line manager when necessary
* Support the Membership team (sales and relations) with onboarding,
problem solving and system updates when needed
* Support the Event Sales Manager in conducting tours and handling enquiries
when required
* Assist and guide events and visitors in finding their way around
the Townhouse
* Be proficient at using the AV equipment available at the Townhouse
and ready to help members and event clients whenever required/solicited
* Ensure that the reception, floors, and communal areas are always
up to AllBright standards
Administration
* Become a master in our management systems and
make best use of its tools and features to create a productive and efficient
work routine and guarantee that all activities and transactions are duly
recorded
* Manage
restaurant, phone booth and private hire room bookings
* Manage
AllBright’s main email inbox and ensure that emails are replied to promptly,
and the information provided is precise, complete, and polite
* Proactively administer Townhouse member needs e.g.,
record and notify ‘lost & found’ items and update maintenance tracker and
feedback tracker
* Management of
inventory and ordering of supplies, stationery, and items for borrowing
* Sort and
distribute internal and tenants’ post
Teamwork
* Nurture a collaborative and supportive work attitude towards all colleagues
in every department at AllBright
* Coordinate with the FOH Supervisors and the Front of House team
regarding the cleaning, turning over and delivery of drinks/snacks to meeting
rooms and events
* Collaborate with the Marketing team, Private Hire and Sales and
Events Manager and the Event and Programming team in the planning and delivery
of programming and private hire when needed
* Liaise with other departments to stay updated on new restaurant
and membership offers, features and events
* Learn the basics of Wait staff, Events and Member Relations roles
to have a wider view and understanding on the Townhouse operations and cover small
tasks when needed
General Responsibilities:
* Undertake
any additional duties as reasonably directed by management
* Adhere
to company practices, policies and procedures
* Ensure
good communication with all colleagues, ELT and SLT
Person
Specification:
* Minimum 2
years’ experience in a fast-paced coordinator/customer service role, ideally
with proven experience working in a hospitality environment
