Job Summary:
Kingston and Richmond Foundation Trust is seeking a dedicated and efficient Administrative Assistant to join our Cardiology team. As an integral part of our multi-disciplinary team, you will support the administrative functions of our clinical pathways, ensuring that information systems are accurate and up-to-date. You will liaise with patients, clinicians, and other staff to ensure smooth and efficient administrative processes, contributing to high levels of patient and clinician satisfaction.
Key Responsibilities:
1. Handle telephone enquiries and provide a point of contact for service users and staff.
2. Input and retrieve data on Trust IT systems in accordance with Trust policies.
3. Open and manage daily post, ensuring timely and appropriate action.
4. Assist colleagues during peak times and support the introduction of new technology and practices.
5. Perform photocopying, scanning, and filing of documents as required.
6. Organize and prioritize daily work tasks to meet set timescales.
7. Book pre-op appointments and coordinate with TCI dates, follow up on DNAs, and arrange patient transport.
8. Support discharge planning and manage cancellations and re-bookings.
9. Maintain stock control and ensure the availability of necessary supplies and equipment.
10. Demonstrate activities to new or less experienced staff.
11. Ensure confidentiality and data protection in line with Trust policies.
12. Provide high levels of customer care and act as an ambassador for the Trust.
Qualifications and Experience:
1. GCSE or equivalent in English and Maths (grades A-C).
2. Experience in an administrative role dealing with the general public.
3. Proficiency in Microsoft Office, including Word and Excel.
4. Excellent telephone manner and interpersonal skills.
5. Ability to communicate effectively with people at all levels.
6. Attention to detail and ability to prioritize tasks.
7. Must have at least 6 months administration experience within the last 3 years.
8. Experience in the NHS or healthcare setting is desirable but not essential.
