Eden Scott is delighted to be working in partnership with a leading Edinburgh-based Inbound Tour Operator/DMC with offices across UK&I. They are looking for a Contracts Manager to join their Scottish team, focusing on building relationships with hotels and service suppliers, contracting hotel group allocations, and negotiating series for their clients, as well as working with the team on ad hoc groups to secure the most competitive agreements/space in Scotland and Ireland.
You will be travelling and meeting hoteliers, driving around Scotland and Ireland to strengthen relationships with existing partners, finding new properties and service suppliers to contract, and negotiating the best terms for the company.
Responsibilities include:
- Building a clear buying strategy for the destinations, setting group allocation objectives and placing strategy for all group series.
- Building and maintaining great working relationships with hotel and service suppliers.
- Finding space at hotels at the best rates for tour series and facilitating relationships between hotel reservations/sales and their team for ad hoc group placing.
- Allocating coach suppliers to the best opportunities, series, and ad hoc groups.
- Assuming responsibility for placing series and confirming details with the Business Development and Sales department, at the budgets and locations required, with ideal terms and conditions.
- Keeping your hotels and services product knowledge updated via research, site visits, and regular placing trips.
- Monitoring relationships with coach suppliers, contracting best rates and space for series.
- Tracking cancellation deadlines for Bedbanks, fulfilling allocations, and evaluating risks on overbookings through discussions with GMs and operations managers/supervisors.
- Inserting all seasonal space in the operations system with great attention to detail, following all procedures to minimize errors.
- Creating and updating yearly quoting rates by location and category, facilitating no-name quotes for the quoting department.
- Working through cancellation reports for Bedbanks based on contract deadlines.
- Ability to work under pressure, managing different source markets and requirements while maintaining a calm demeanor.
- Collaborating with different teams effectively, with strong communication skills both in writing and on the phone.
Key Skills Required:
The ideal candidate should already be contracting group space for a similar company or be working in sales or revenue within the hotel sector. Applicants should have:
- Experience in travel trade with groups, or in hotel sales functions, understanding revenue, sales, seasonality, and groups business.
- Excellent knowledge of Scotland as a destination and its tourism products.
- Ability to work collaboratively and independently as part of a team.
- Proficiency in operations software and research.
- Understanding of current hotel rates, principles of wash back, hotel revenue, and allocations.
- Knowledge of Tourplan NX is a bonus, but full training will be given.
- An outgoing, friendly personality who enjoys building relationships and social interaction.
- Willingness to travel around Scotland and Ireland visiting hotels on planned business schedules for the year.
This role can be home-based with set visits to their Edinburgh office, promoting a flexible office/home working environment.
Salary is dependent on experience.
