About the role:
The Commercial Operations function manages all quote/tender responses, in addition to sales pipeline management, cost/margin analysis, pricing, and legal/contractual review. This a very varied role that has a lot of opportunities to wear different hats and get exposure to virtually all aspects of a fast-growing company in an exciting industry.
The Bid Manager / Commercial Operations Manager – EMEA will be responsible for planning, producing, and delivering compliant proposal documents within a complex global business environment. The successful candidate will monitor sales activity/progress, primarily across the UK and Middle East, and play a key role in winning new business in targeted growth geographies, such as mainland Europe.
Responsibilities:
* The candidate will be the central point of contact on all assigned bids/tenders, leading and guiding the work of internal stakeholders in the Technical, Service, Sales, and Software Delivery teams:
o Managing the end-to-end administrative process and support the team on all assigned bids/tenders.
o Input company information into customer supplier portals.
o Support sales process associated with RFPs, RFIs, RFQs and other public and non-solicited bids/tenders.
o Sourcing, coordination, analysis, and production of proposal documents for RFI, RFP and ITT bids, to create proposal outlines and enable bid decisions for both new and existing clients.
o Consolidate sections and/or documents developed by others team members into the required tender format.
o Create and maintain standardised proposals and tender documents.
o Collaborate with relevant internal stakeholders to carry out cost/pricing analysis, ensuring profitability of bids/proposals.
o Reporting on success/failure ratios, bid/no bid decisions, and collate feedback.
* Ensure information is accurately reflected in the CRM system and hold key stakeholders accountable for the same.
* Participates in and leads the EMEA sales cadences, manage sales pipeline, hold account executives accountable for sales activities/progress, participate in sales forecasting and pipeline discussions.
* Ensures compliance with proposal process as identified by the Global Commercial Operations Lead:
o Ensure proposal/sales documents follow corporate branding guidelines, standard formatting, and quality standards.
o Champion collaboration tools, document management, and version control best practices.
o Maintain, make available, and backup master document sets and maintain a library of reusable responses, templates, and processes.
o Curate responses to ensure a well organised bid library is easily accessible and compliant with processes.
* Contributing to lessons learnt and continual improvement of the EMEA commercial operations function.
* Monitor and respond to tendering websites, including completion of pre-qualification questionnaires and maintenance of supplier portals.
Who would be a good fit for our role:
* Advanced level MS Office skills and professional understanding of document templates, macros, and styles.
* A good track record of producing winning bids, bid writing, bid pricing, and cost/margin analysis.
* Outstanding written and verbal communication skills and a strong ability to adapt communication style to varying environments/situations. This role requires coordinating and collaborating with a large variety of people across the business, therefore, the ability to form/maintain strong working relationships is absolutely essential.
* The ability to generate creative ideas while working both independently and collaboratively.
* The ability to multi-task and deliver towards tight deadlines in a pressurised environment with varied stakeholders.
* Excellent attention to detail.
* A self-starter mindset: proactive and resourceful.
* Possessing a strong work ethic: leading by example and keeping the team informed of changes. Experience in using bidding platforms.
* Desirable previous experience within a comparable industry (1 year minimum).
* Desirable previous experience in submitting software proposals.
* Desirable previous experience in using graphic design packages (e.g. Canva, InDesign).

Additional Details:
* Eligibility to live and work in the UK with high fluency in English.
* Passport and full driving license.
* Be able to access the Cyberhawk Ratho office on a weekly basis. Regular office attendance will be required for the first few months and is desirable on a continuous basis.
* Working outside standard UK hours (9am-5pm) may be required at times in order to coordinate with global delivery teams (primarily in Qatar/USA, meaning potential early starts/late finishes).
