Purchasing & Logistics Coordinator
Overview
Our client is a charity based in Woking and they are looking for a highly organized and detail-oriented individual to join our Event Team as a Purchasing and Logistics Coordinator. This position is at the core of event operations, covering procurement, purchasing, stock management, and event logistics. You will play a vital role in sourcing and securing event materials, while ensuring quality and cost-effectiveness.
Additionally, you will oversee digital stock control, warehouse management, and the logistics of pre- and post-event operations, including packing, inventory tracking, and loss reporting.
Key Responsibilities
Procurement & Supplier Management
* Research, source, and procure event and fundraising materials in alignment with organisational needs.
* Evaluate suppliers and negotiate contracts to secure competitive pricing and quality.
* Implement and improve procurement policies and tendering processes as needed.
* Manage relationships with suppliers to optimise service and cost efficiency.
Stock & Warehouse Management
* Maintain a digital inventory management system.
* Monitor stock levels, ensuring availability for events and fundraising initiatives.
* Coordinate the fulfilment process with third-party vendors and internal teams.
* Track and report on stock usage, losses, and damages post-event.
Event Logistics & Coordination
* Organise the packing and preparation of event materials, ensuring smooth distribution.
* Oversee stock movement before and after events, including returns and storage.
Financial & Data Management
* Maintain detailed records of purchases, inventory, and supplier performance.
* Apply data analysis techniques to assess procurement trends and identify cost-saving opportunities.
* Use Microsoft Access and Excel (including VLOOKUP, IF statements, and pivot tables) to manage inventory and logistics efficiently.
What We’re Looking For
* Previous involvement in logistics, warehouse management, or supply chain operations.
* Strong negotiation skills with a proven track record in procurement, supply chain or logistics
* Excellent communication and relationship-building skills.
* Highly analytical with the ability to interpret data, manage budgets, and optimise procurement strategies.
* Proficiency in inventory management systems and advanced Microsoft Excel skills.
* Ability to manage multiple projects, meet deadlines, and work effectively under pressure.
* A detail-oriented mindset with strong problem-solving skills.
* Ideally experience of working in the events of health industry
