The Role
Russell Cooke has an opportunity for an IT savvy, values driven individual to support our legal departments and external clients as our new Facilities Services Coordinator. A high level of client service and professionalism is a must as you will carry out a variety of duties as the firm continues to develop and grow at not only our Putney office, but assisting across our other offices in Bedford Row and Kingston upon Thames.
This is a full-time role working 37.5 hours from 8.30am-5.00pm Monday to Friday with the expectation to occasionally cover a few hours overtime to assist with helping at events (this will be on a rotational basis with the other members of the team). The role requires high standards of IT with the capacity to rapidly learn and adopt new systems, to the extent that this role can provide support for other of the firm’s IT and telecoms technology.
Technical skills and expertise
1. Proven experience of liaising internally and externally with clients and stakeholders
2. A high level of confidentiality and professionalism is a must
3. Prior experience in a law firm is ideal but not essential
4. Office co-ordination / management experience advantage
The Role
Duties include but are not limited to:
5. Processing and distribution of incoming, internal and outgoing post.
6. Facilities management and accurate documentation, scanning, filing, invoicing and ordering of stock such as cleaning materials, office sundries and where necessary, stationary.
7. Receiving and distributing deliveries of other materials from suppliers, including materials needed for building repairs and maintenance alongside setting up and rearranging furniture before and after meetings or events.
8. Planning of small office moves, including appropriate interaction with IT support as well as moving furniture and equipment for internal and new-site office moves. This includes the set up and configuration of AV equipment in meeting rooms and facilitating routine maintenance of AV and peripheral IT equipment.
9. Carry out minor repairs to buildings, facilities and furniture such as replacing lightbulbs and adjusting climate control systems.
10. Liaising with cleaning staff, the firm’s maintenance contractors and other providers in the coordination of daily operations, where necessary.
11. Assisting staff in legal departments with the procurement of stationery and subsequent distribution
12. Active support of security framework including replacement of locking mechanisms, arranging and issuing access keys to new joiners and resetting electronic security access for leavers and lost devices.
13. Routinely carry out health and safety inspections across the firm with accurate documentation
14. General upkeep and maintenance of the firm’s storage facilities.
