We'd like you to join us as a Bid and Contract Administrator in the Commercial Team in Darlington. This role is full-time and hybrid working (3 days in the office and 2 working from home).
Main duties of the job
The Bid Writer & Contract Co-Ordinator role is to support the Commercial Department with key commercial administration responsibilities as instructed by the Contracts Manager, Business Development Directors, and Chief Commercial Officer. The role will also be accountable for monitoring and responding to the Group's referral mailbox.

Job responsibilities
What you'll be doing:
Bid Writer
1. Registration, monitoring and management of client portals and email inboxes, including distribution of opportunities to the relevant member of the Commercial Department.
2. Identifying new contract opportunities by tracking notification boards and assisting with contracts/bids from the expression of interest to submission and outcome stage as directed by the Contracts Manager, Business Development Director, and Chief Commercial Officer.
3. Draft written responses drawing on previous submissions in the library, specifications, policy research, and local research.
4. Write bespoke content with the support of experts in the relevant areas for submissions.
5. Ensure bid and tender documentation is properly formatted, collated, and presented in a professional and timely manner.
6. Proofread written documentation prior to submission.
7. Conduct local research.
8. Construct, write and submit tender and DPS responses within assigned timeframes, in line with the commercial bid process.
Contract Co-Ordinator
1. Management and maintenance of the Group CRM system.
2. Log all contracts including no bids with clear reasoning.
3. Ensure all data is logged correctly and generate monthly bid reports.
4. Ensure that all IPA’s (including other agreements) are stored in the relevant system.
5. Ensure all contracts are uploaded to the team’s contract database and labelled in the correct naming convention.
6. Prepare Contract Summary document for business when contract secured.
7. Ensure all contract terms (including insurance updates) are submitted in line with the contract requirements and uploaded or issued to the relevant individuals.
Bid Administration and Additional Requirements
1. Respond to initial client enquiries via telephone and email and distribute the referrals to the relevant member of the commercial team.
2. Manage the referrals mailbox and ensure emails are distributed accordingly.
3. Assist with the day-to-day reporting and administrative functions of the department and its key business processes.
4. Compile a range of reports to assist with the monitoring of the Commercial Department as instructed by the Contracts Manager and Business Development Director.
5. Record meeting minutes during Commercial meetings, video conferences, and conference calls.
6. Attend bid presentations and interviews when required.
7. Participate in staff development (including supervisors), training, and performance appraisal as required.
8. Attend monthly/quality Commercial meetings and play a proactive role within the meeting including updating on relevant areas of the business.

Qualifications
Essential
1. Exceptional written English, verbal reasoning, and mathematical skills.
2. Experience of healthcare, or similar experience within either a recruitment or provider environment.
3. Previous administration experience essential.
4. Confident with figures and the ability to produce a range of advanced level spreadsheets and reports is essential to this role.
5. Excellent strategic planning and organisational skills.
6. Excellent computer skills including MS Word, PowerPoint, and Excel proficiency is essential.
7. Experience using CRM systems.
