Office Administrator (Part time) Working hours: 9am-1pm, 4 days a week About the role To assist the Nursery Manager with the nursery administration providing high quality customer service and ensuring that the office runs smoothly. Our Nursery Built in, approximately 1929 for the Hitchin Glove Company, Toad Hall Day Nursery now occupies the rear of the unit and we are a short walk from a lovely park and local amenities. Our 107-place nursery is situated close to the Town Centre and railway station. We offer the following amazing benefits and opportunities within our established nursery group: Birthday day off or Christmas shopping day Company Bonus Scheme Long service awards at 5, 10, 15, 20 and 25 years’ service Annual Christmas party for all Toad Hall Staff Opportunity to purchase additional Holiday 50% staff discount on childcare places Discount and savings at over 1,500 retailers through PerkPal Key tasks and responsibilities: Be responsible for administration duties as agreed with the management team and to understand and comply with nursery policies and procedures Prepare and provide nursery staff with daily operational paperwork and keep all computer systems and records up to date and accurate at all times Ensure that all parents have signed a contract and agreed terms and conditions, that all records are filed accordingly or online, and that parents’ and prospective parents’ needs and information are communicated clearly and positively In conjunction with the Nursery Manager, maintains and monitors all invoicing and funding documentation and the funding portal. Ensure all parent paperwork is up to date and relevant. Update the EY portal and run invoicing for the nursery alongside the Nursery Manager. Working with the Nursery Manager, effectively manage new starters. Adding to the system, booking and managing settles as well as keeping the waiting list up to date and maintained. Be aware of and comply with Health and Safety at Work Act, EHO and COSHH regulations; ensure that all security systems are fully operational and unauthorised personnel are not given access to the nursery. In conjunction with the Nursery Manager, to have specific responsibilities for the archiving of all paperwork in the nursery. Ensure the office environment is kept clean, clear and tidy. Keeping the coffee station and office consumables stocked up and presented in a professional manner. Your qualifications and experience: Previous Administration experience Ability to handle confidential information with discretion Excellent attention to detail and accuracy Strong team ethic with the ability to work independently Ability to plan and prioritise workload, working under pressure to tight deadlines Proficient use of MS office packages Excellent written and verbal communication skills Satisfactory Enhanced DBS check Previous experience of working in a school or nursery setting Business Administration qualification We are an equal opportunity employer and value diversity at our company.
