We are looking for an Operational Support Officer with excellent communication skills, to provide efficient and effective support services to the Divisions within our Constabulary. You’ll be the first point of contact for business related enquiries, and you’ll gain an in depth knowledge of the organisation and its processes whilst working with stakeholders, both internal and external, at all levels Key Responsibilities: Efficient administration, end to end planning of constabulary operations and activities where appropriate, including venue, travel, subsistence, and equipment booking, preparation of course/activity related paperwork and liaising with CNC financial and stakeholder financial teams providing follow up services were required. Manage, administer, interrogate, analyse, and abstract information from systems to enable access to sites and buildings and to facilitate constabulary operations and activities to produce reports, forecasts in support of senior and other teams and wider constabulary activities. Handle a wide range of sensitive and confidential information having a sound knowledge of how to apply GDPR and security classifications. Ensure team undertake the local administration processes for Document Control Registers, film badges, recording, storing and disposing of documents etc. in line with agreed policies. Work collaboratively with colleagues, contributing positively and constructively, building and maintaining positive working relationships in support of divisional and constabulary wider Organisational objectives. Effective procurement activities including but not limited to identifying requirements, selecting suppliers, organising the set up and amendment of suppliers, managing supplier relationships and managing purchase orders from start to finish including raising, reconciliate and receipting purchase orders ensuring adherence with contract and procurement guidelines. Collate financial management requests and resolve invoice queries identifying efficiencies where possible and ensuring set budget constraints are met. Requirements: Fluency in IT Skills, working knowledge of common office systems, procedures, equipment, and facilities e.g., Microsoft Office Posses or be willing to work toward Business Administration qualifications. Self-motivated and flexible with ability to work unsupervised, as well as within a team, solve problems and make decisions with excellent organisational & interpersonal skills and ability to organise and prioritise a heavy and varied workload. Experience of co-ordinating complex meetings and record management systems possessing an eye for detail and accuracy. Excellent communication skills both written and verbal, ability to communicate at all levels. Able to handle sensitive and confidential information including medical in confidence and personal information with complete discretion. Ability to work to strict deadlines in a pressurised environment. Ability to work with complex and multi-dimensional partnerships with proven writing skills. Excellent customer service skills and good standard of self-presentation.
