DENTAL RECEPTIONIST JOB DESCRIPTION
General Purpose
Attend to patients on the phone and in person. Co-ordinate and organize appointments and administration to facilitate the efficient running of the dental office.
Main Job Tasks, Duties and Responsibilities
1. Greet patients
2. Register new patients according to established surgery protocols
3. Assist patients to complete all necessary forms and documentation
4. Verify and update patient information
5. Inform patients of dental office procedures and policy
6. Move patients through appointments as scheduled
7. Enter all relevant patient information into data system
8. Maintain and manage patient records in compliance with privacy and security regulations
9. Answer and manage incoming calls
10. Respond and comply to requests for information
11. Schedule patient appointments
12. Confirm upcoming appointments and recalls according to surgery protocol
13. Check daily appointment schedule
14. Arrange patient charts for next day appointments
15. Fill in cancellations and no-shows
16. Organize referrals to other medical specialists
17. Dispatch lab work appropriately
18. Check lab work and bring patient in for the delivery of the same
19. Collect and receipt payments from patients at time of treatment
20. Inform patients of financial treatment plan options
21. Arrange payment schedule with patients
22. Prepare and mail billing statements
23. Prepare claim forms for dental insurance
24. Arrange supporting documents for insurance claims
25. Sort and distribute incoming and outgoing post
26. Monitor and maintain inventory of dental office supplies
27. Update patient education materials
28. Maintain a professional reception area
29. Support trainee receptionist
30. Safeguard patient privacy and confidentiality
31. Manage waste contract
32. Monitor safety alerts and action them if needed
33. Escalate any complaints or concerns raised by patients to management team
Education and Experience
1. General education degree or high school diploma
2. Knowledge of dental terminology, procedures, and diagnosis
3. Knowledge of computer and relevant software applications
4. Knowledge of general administrative and clerical procedures
5. Experience as a dental receptionist would be an advantage
6. Experience with Dental Software would be a big advantage
7. School leavers are welcome to apply
