Main Purpose of the Role
Supporting and providing comprehensive administrative support to the Head of HR & Payroll. Managing internal HR relationships and maintaining HR databases.
Role & Responsibilities
1. Creating, maintaining and updating HR documents and employee records on our Staffology HR System. Monitoring and maintaining HR inbox, triaging queries via email and responding as appropriate.
2. Supporting employee relations. Supporting the Head of HR with answering HR-related queries/employee queries.
3. Inputting & updating data into internal HR databases.
4. Completing tasks delegated by Head of HR. Supporting the Head of HR & Payroll with payroll related matters and tasks.
5. Provide day-to-day advice to Line Managers and Employees on general HR related queries, requests and Policies and Procedures, escalating more complex issues to the Head of HR.
6. Collecting relevant employee information and keeping a track record of employee documents.
7. Supporting with recording and updating holidays, sickness and absences. Supporting with writing new HR procedures. Supporting with creating job descriptions and updating existing ones.
8. To develop and maintain administrative systems and procedures to provide administrative support for HR projects. For example, arranging meetings, collating and circulating papers, preparing statistical reports, entering data on IT systems and following up action points.
9. On-boarding and Induction - Coordinating logistics for new hire inductions, administering the process for new employees, process all pre-employment checks and references.
10. Administer the probation process.
11. Assist in formal meetings, such as employee investigations, disciplinaries and grievances as may be required by the Head of HR.
12. Respond to reference requests for ex-members of staff.
13. Supporting with welcoming visitors/candidates for interviews.
14. Supporting with administering leavers internally (informing relevant departments) and ensuring that resignations are acknowledged in a timely manner, the Line Manager is aware of the process and any outstanding annual leave is calculated in accordance with the employee's terms and conditions.
15. Participate in organising and planning employee events.
16. Assist in on-boarding - obtaining the right to work verification, support with visas sponsorship and obtaining references.
17. Support with Appraisals administration.
18. Supporting with Occupational Health referrals.
19. Assist with compliance with the Data Protection Act and GDPR.
20. Assist with other work, events and projects as needed.
21. Any other duties that may be reasonably required.
