As an Access Wellbeing Service Coordinator, you will play a crucial role in ensuring the smooth running of our services by providing comprehensive administrative support. Your responsibilities will include:
* Quality Support: Efficiently manage and coordinate incoming correspondence, schedule a variety of meetings, and oversee event management to support the operations of Dorset Healthcare and our Partner organizations.
* System Management: Develop, maintain, and regularly update both manual and IT internal systems to enhance the effectiveness of our Practice.
* Technical Support: Provide technical support to the team, ensuring accurate and timely case recording to facilitate quality assurance reporting and demonstrate outcomes for customers.
* Office Management: Oversee general office management tasks, including health and safety responsibilities, and maintain accurate records of the team’s whereabouts, such as lone working, leave, and other absence arrangements.
Whilst this role does not involve any direct case work, it does have some face-to-face contact and telephone calls with customers. This requires the ability to speak to vulnerable people, sometimes in challenging circumstances, and respond sensitively to any cultural differences.
Key Responsibilities:
* Receive, sort, and distribute incoming correspondence.
* Coordinate and schedule meetings, preparing agendas and taking minutes as needed.
* Organize and manage events, ensuring all logistics are handled efficiently.
* Regularly update and maintain internal systems and databases.
* Provide technical support to the team, ensuring all case recordings are completed and updated for reporting purposes.
* Oversee office health and safety protocols.
* Track and record team attendance, including managing leave and absence arrangements.
* Liaise closely with Partners to ensure accurate records and smooth collaboration.
