Are you an organised and detail-oriented administrator with experience in reactive maintenance or helpdesk support? We’re looking for a Contract Administrator to play a key role in coordinating and managing maintenance tasks efficiently.
The Role:
As a Contract Administrator, you’ll be responsible for managing and allocating reactive maintenance tasks, ensuring minimal disruption to operations. Using CAFM systems, you’ll assign jobs, liaise with engineers and subcontractors, and ensure compliance documentation is up to date.
Contract Administrator Key Responsibilities:
* Manage the service email inbox, responding promptly or directing queries appropriately.
* Review and allocate reactive maintenance tasks to the right engineers or subcontractors.
* Schedule and adjust engineers’ diaries, ensuring job coverage even in case of absences.
* Monitor inspections and coordinate dates with subcontractors.
* Upload compliance documentation and ensure all paperwork is completed and logged.
* Follow up with subcontractors for certificates and documentation.
* Raise job numbers, purchase orders, and quotes for additional work.
* Handle incoming calls related to maintenance tasks and resolve issues.
* Manage daily reports, following up on delays or outstanding tasks.
Skills and qualifications:
* Previous administrative experience.
* Previous helpdesk experience.
* Previous experience overseeing contractors.
* Demonstrate strong administration skills.
* Strong IT skills including Microsoft Office.
* Excellent telephone and email manner, with solid communication and interpersonal skills
* Excellent attention to detail.
